Description: The CRWA Training & Events Coordinator is a key role in keeping CRWA’s trainings, conferences, and partnered classes running smoothly and efficiently. This roll performs a lot of the “behind the scenes” tasks that give attendees seamless experience and has responsibility over many of the initial set up pieces of a training, as well as finishing touches.

Job Duties:

  • Training Coordination:

o Support the training team by maintaining the internal training calendar and communicating all training scheduling information to the Marketing Coordinator and the team at the CRWA Main Office.

o Support and maintain CRWA’s relationship with Suncoast Learning Systems by issuing Suncoast TUs to the portal, tracking course by course utilization and renewing selected Suncoast courses for the next year by submitting to the CCWP Portal in Q4. In Q4, this role with coordinate with Suncoast Learning to determine any changes to Suncoast classes or new classes available prior to resubmitting.

o Submit and/or renew all CRWA written training courses, including the CRWA Annual Conference & Exhibition, on an annual basis.

o Send registration information for each class to instructors and send webinar invitations to attendees after registration has closed.

o Support training partnerships made by the Training & Membership Manager by actively communicating class updates and changes to all parties involved.

o Issue Training Units for all courses taught by CRWA staff.

o Maintain documentation of all submitted TUs in a manner that any staff answering operator questions has access to.

  • This position will manage all planning of the CRWA Annual Conference & Exhibition, including but not limited to:

o Acting as the liaison between CRWA and all event related partners such as the hotel, A/V companies, catering, etc.

o Leading the conference planning team with action items, calendar management, meeting agendas, delegating expectations, and performing progress checks on delegated tasks. When working in this capacity, this position will have the authority to assign tasks to other members of the team as deemed appropriate by the Training & Membership Manager.

o Operating within a budget set by the CRWA Executive Director and tracking all purchases made for the event.

o Work with the Marketing Coordinator for all language and any themes used to describe and advertise the event both digitally and in print. Review and approve all marketing material that is conference specific.

o Putting out the Call for Papers information (in collaboration with the Marketing Coordinator) and handling the conference schedule of courses and events based on the responses submitted.

o Create event schedules for CRWA staff to appropriately structure staff involvement at the event. These schedules will be created in collaboration with individual department leads when appropriate and approved by the CRWA Executive Director.

o Order all giveaway items for attendees, instructors, and exhibitors.

o Coordinate staff schedules for the event, with department supervisors, to ensure that all areas of the conference are well-staffed and running smoothly.

o Gather feedback after the conference from both attendees and vendors and present to the conference planning team.
