Primary Function

The function of the Lead Senior Payroll Specialist is to provide daily oversight and support to ensure accurate and timely processing of payrolls for all Care New England facilities. Provides leadership, direction and training to the payroll staff, timekeepers and employees with all payroll processes and practices. Ensures compliance with federal, state and local payroll wage and hour laws and best practices. Works closely with the Director of Disbursement to ensure appropriate delegation of responsibilities to the payroll team.

Specifications

  • Bachelor of Science Degree in Accounting, Finance or Business required or equivalent combination of education and experience.
  • Minimum 5 - 7 years job-related experience. Experience in the healthcare field preferred.
  • Ability to work independently as well as lead and motivate a team.
  • Possesses a high degree of technical aptitude and proficiency with payroll regulations, systems, processes and policies.
  • Strong analytical and organizational skills required as well as excellent interpersonal and communication skills.
  • Proficiency in the English language.

Responsibilities

  • Guiding, monitoring and leading the payroll team in ensuring that all payrolls for all Care New England entities are processed accurately and timely in accordance with federal, state and local payroll, wage and hour regulations as well as Care New England policies. Oversees the prompt payment of payroll deductions, payroll taxes and completion of various reports as well as federal, state and local tax filings.
  • Cooperatively works with the Director of Disbursement, HR, Accounting, operating unit managers and timekeepers to manage timely and accurate approval of timecards and payrolls and all related transactions.
  • Provides backup coverage to Director of Disbursement in reviewing and approving ACH, positive pay and stop payment transactions in online electronic banking system. Approves check requests and payroll team timecards when needed.
  • Provides direction and training to payroll staff, timekeepers and department managers in payroll timekeeping, processes and procedures.
  • Provides leadership to payroll staff in problem solving and issue resolution. Handles escalated employee issues and complex transactions.
  • Responsible for motivating as well as inspiring positive communication within the payroll team and with other departments to ensure collaboration in achieving goals.
  • Preparation and completion of special projects and analysis, including audits. Assists in the development and implementation of new pay codes, deduction codes, entitlements, etc.
  • Performs various payroll responsibilities as needed, including payroll processing, payment of deductions, preparing check requests, completing reconciliation reports, providing documents for audit requests, assisting in W2s process, employee inquiries etc.
  • Assists in the testing and training of new payroll applications and upgrades to ensure the accuracy and integrity of payroll data.
  • Maintains internal controls and procedures
  • Performs other related duties as assigned.
