What will I be doing?

  • Checking all rent ready apartments to be shown and the model each morning
  • Answering phone in a professional and positive manner
  • Gathering and recording required information from each prospective resident call
  • Setting up an appointment or convincing those calling for information on the property to visit and scheduling an appointment if possible.
  • Standing to greet future residents quickly and professionally and shaking their hand
  • Gathering and recording required information on a phone lead pad and guest card from each prospective resident who visits and calls.
  • Touring model and/or rent ready apartment homes with prospective residents.
  • Turning off lights in model and rent ready apartments at the end of the work day.
  • Keeping all phone and in person traffic logged
  • Sending Thank you notes immediately after each future resident’s visit and following up with resident until a rental decision is made.
  • Responding immediately to all E-mail inquiries for information.
  • Accepting applications for residency
  • Making certain future residents understand deposit policies
  • Determining move-in date and apartment desired
  • Collecting Deposits
  • Verifying application information as requested or required by manager and/or assistant manager.
  • Bring each verified application to the property manager with recommendations about the qualifications of the applicants
  • Updating apartment availability reports/boards/forms
  • Completing leasing paperwork
  • Inspecting future resident’s apartment to ensure readiness
  • Providing Property Manager with all leasing paperwork for review and signature
  • Explaining leasing paperwork to future residents
  • Making appropriate entries in to the computer
  • Completing all move-in details
  • Corresponding with and contacting all residents whose leases are expiring
  • Preparing renewal packages
  • Reviewing and obtaining signatures on renewal packages
  • Updating Renewal Log
  • Sending out Thank You notes to all who renew
  • Taking work orders and accurately maintaining and providing information to maintenance staff
  • Handling customer complaints professionally and forwarding all un-resolved complaints to the Property or Assistant Manager.
  • Observing office procedures and rules as set forth by the company and property manager.
  • Assisting in planning resident functions
  • Performing outside marketing to local businesses as needed
  • Performing additional duties as assigned, given adequate guidance and resources.

What's needed for this position?

  • High School diploma or equivalent required; bachelor’s degree a plus.
  • Prior sales or customer service experience preferred.
  • Strong computer skills required.
  • Professional business attire is required.

Comprehension, Problem Solving and Communication Able to communicate well with others.

  • Possess strong people skills and an outgoing, enthusiastic, persuasive and professional demeanor.
  • Able to complete paperwork accurately.
  • Needs strong verbal communication skills to work with other leasing staff, maintenance staff, and residents over the phone and in person.

Must be able to: Work as part of a team, as well as complete assignments independently.

  • Work in a fast-paced and customer service-oriented environment.
  • Take instructions from supervisors.
  • Interact with co-workers, supervisors, residents and the public in a professional and pleasant manner.

A Palms’ Assistant Manager plays a critical role in the property's success and can be a stepping stone to a Property Manager opportunity. The Assistant Manager's top priorities are to:
1. Assist the property manager in the critical areas of leasing, collections, resident services, revenue growth, and compliance with legal and company policy
2. Contribute to revenue growth by brainstorming ways to set community apart
3. Execute marketing activities using social media and creative community promotions
4. Lead by example to prioritize the highest customer service to promote resident retention
5. Set resident expectations early regarding prompt payment of all balances owed
6. Commit to minimize delinquent rent
7. Participate in company-wide training programs to stay compliant with real estate law and develop professional skills
8. Collaborate with maintenance team to help achieve property-wide goals

Palms’ management team wants to hire and work with you

  • Bachelor's degree a plus, but not required
  • Bilingual a plus
  • Ability to prioritize work effectively and adapt quickly to changing priorities
  • Successful track record of assisting in the collection of delinquent rent
  • Focus on providing outstanding customer service to our new and current residents
  • Property management designation such as CAM, CAPS, NALP preferred
  • YARDI and LRO experience a plus
