Evolve adolescent mental health treatment and teen rehab centers, accredited by CARF and The Joint Commission, offer the highest caliber of behavioral health care for adolescents 12 to 17 years old struggling with mental health issues or substance abuse.
We are hiring for a Scheduling Coordinator (Temp) position who will be responsible for our facilities in the San Diego area. This position will be remote but will attend Treatment Team meeting in person at each program once a month.
The Staffing Coordinator (SC) is responsible for staff scheduling for 4-5 programs and ensuring that RTCs are fully staffed 24/7. The SC manages timecards, sick time, call-outs, and PTO requests. The SC is responsible for orienting new Residential Counselors to Evolve University and ensuring all staff in their houses are up to date on required trainings. The SC is responsible for reviewing resumes, doing screening interviews with RC candidates, and coordinating and scheduling RC interviews for PDs.

Essential Functions:

  • Responsible for carrying out policies and procedures for scheduling of all residential facility employees (“Staff”) work and training schedules
  • Responsible for approving Staff PTO requests, overtime requests, and assuring overtime policies are followed
  • Responsible for timely coordinating with Staff calling out sick and finding replacement Staff for open shifts
  • Answer Staff phone calls and text messages regarding call-outs and schedule needs in a timely manner
  • Participate in on-call rotation and be available for staff after hours to triage and troubleshoot staff call-outs
  • Management of all residential programs’ Staff schedules within the region and ensuring OnShift is up to date
  • Meet weekly with Staffing Manager to discuss overall department trends
  • Meet weekly with each Program Director to review staffing trends, scheduling, and any other programmatic concerns
  • Meet weekly with HR regarding recruiting
  • Effectively utilize the Company’s time and attendance software, OnShift
  • Verify employee timecards and correct time punch errors, as needed in Paylocity
  • Maintain and update each residential program’s master staff schedule and weekly staff schedule in OnShift
  • Verify and confirm Staff availability and schedule on a weekly basis and distribute weekly staff schedule to each residential program by end of business day each Friday
  • Send out schedule change reminders, as needed
  • Communicate unapproved and excessive absences to Program Director and

Human Resources

  • Coordinate Staff training schedules and schedule staff trainings as needed to comply with regulatory requirements
  • Open up new requisitions and post positions to Indeed, and other recruiting duties as assigned
  • Review and screen RC resumes, reach out to RC and OVN candidates to pre-screen them and set up interviews for PDs
  • Maintain and update employee training records and maintain and audit employee files
  • Attend “Treatment Team Meeting” in person at each program once monthly
  • Responsible for administrative oversight of Company incentive programs pursuant to management policies including distributing OnShift points
  • Build and maintain positive interpersonal relationships with Staff
  • Other staffing duties as assigned

Requirements:

  • High school diploma or GED
  • Associate’s or bachelor’s degree preferred
  • A minimum of one years’ experience in a similar role
  • Experience with taking high-volume calls
  • Ability and willingness to be on-call
  • Advanced knowledge of confirming and scheduling appointments, as well as recordkeeping practices
  • Advanced proficiency in Microsoft Word, Excel, and Outlook
  • Excellent customer service skills
  • Excellent organization, interpersonal, and communication skills

Job Types: Full-time, Temporary

Pay: $64,000.00 - $68,000.00 per year
