Opportunity:
We are currently looking for a Solar Project Admin to excel on our growing New Construction Solar Team!
The Solar Project Admin is responsible for supporting installation activity, working directly with the Citadel Superintendents and other internal teams to ensure the field operations team has the information, tools and materials needed to complete solar installs on time. They also facilitate solar drawing file management, and coordinate the delivery of design & permit documents to appropriate stakeholders. Solar Project Admin ensures all project requirements have been met in order to effectively close out a project. Solar Project Admins also work closely with Project Managers to ensure data accuracy, workflow continuity and operational excellence within the department.
Responsibilities:
· Support Citadel Superintendents with scheduling updates, monitoring a dynamic activity calendar continuously to ensure accuracy and efficiency of the daily installation schedule
· Identify and organize Project Documents requirements for internal & external customers, so not to disrupt project schedules and deadlines
· Order and deliver installation placards for final inspection readiness
· Receive daily installation photo submittals, audit for accuracy and organize in project files
· Manage PV Installation Completion documents required for Project Closeout and Billing.
· Review installation timecards for accuracy, reconcile with job budgets, submit to accounting within weekly payroll deadlines.
· Provide general Field Team support:
o Assist field team in locating necessary job #’s, designs, schedules
o Serve as main point of contact for field team while they are in the field and need administrative assistance remotely
o Facilitate and participate in regular field team meetings
Skills and Qualifications:
· 2+ years Administrative experience required
o Construction or Solar Administrative experience a plus
· General computer navigation and typing proficiency required
o Expanded Microsoft Excel, Outlook and Adobe PDF skills a plus
· Professional verbal & written communication skills
· Attention to detail, with good habits of reviewing work for accuracy is necessary
· Ability to work independently, as well as in a collaborative team environment
