Purpose
Coordinate and manage research operations and administrative duties on behalf of the neurosciences research faculty at Dell Medical School.
Responsibilities
  • Manage purchasing associated with faculty research. Locate vendors, follow university purchasing procedures, coordinate delivery of materials, and ensure vendor payment. Collaborate with and serve as point of contact to process purchase requests (purchase orders, procard vouchers, vendor setup), payment requests (vendor payments, travel authorizations, travel reimbursements, IDTs, etc.) for the research teams.
  • Serve as daily operations manager for this research unit. Interfaces with multiple levels of the organization and external entities to discuss services and research needs; establishes and maintains collaborative relationship with administrators, faculty, and staff to advise, facilitate, and/or train in the essential elements of research operations. Coordinate with Facilities personnel regarding laboratory maintenance. Manages, plans, directs and evaluates assigned projects with lab managers providing consistency throughout the research floors. Ensures that information regarding new organizational initiatives, programs and policies is disseminated, and that initiatives are implemented as planned.
  • Administrative lead and liaison for two Clayton Foundation funded projects within the neurosciences. Assists PIs with grant pre- and post-award research funding activities, accounting, and reporting. Works closely with OSP, SPAA, and funding agencies to ensure continuous appraisal of Clayton PI's funding status and awards.
  • Coordinate and manage all visa applications & renewals for the department.
  • Coordinate grant contract specifications and business contracts into university contract system on behalf of research units while ensuring they are in compliance with the terms outlined in the approved contracts.
  • Supervise 1 full-time administrative associate who supports the neurosciences research administrative services.
  • Other related duties as assigned.
Required Qualifications
Bachelor's degree and five years of relevant experience, or high school graduation or GED, and nine years of relevant experience. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Strong written, verbal, and interpersonal communication skills. Strong organizational skills, a flexible work style and ability to manage multiple projects simultaneously in a fast-paced work environment. Ability to work collaboratively and in a team environment. UT Austin procurement work experience. Experience and knowledge with University accounting policy and procedures. Experience coordinating international visa applications. Experience preparing and submitting university contracts.
Salary Range
$50,448 + depending on qualifications
