Receptionist/Office Assistant
Job description
Applied Research Associates (ARA), Inc. is seeking a Receptionist/Office Assistant to perform a variety of activities to support clerical and administrative functions for the Engineering Science Division in Panama City, FL.
Essential functions:
- Answer the main phone line, transfer calls to staff, and provide assistance when needed.
- Greet and assist visitors and ensure they sign in as appropriate.
- Maintain Microsoft Outlook schedules for the conference rooms, arrange meetings/events, and maintain common areas.
- Assist office staff with shipments, create shipping labels for outgoing packages and arrange for pickup.
- Receive incoming mail and packages and distribute to staff.
- Assist Accounts Payable with coding purchase orders as received through the tracking system.
- Use copy machine to scan documents to email for various related tasks.
- Maintain inventory of office and cleaning supplies, and reorder supplies as needed.
Experience and skills required:
- Proficient skills with Microsoft Outlook, Excel, Word, and PowerPoint.
- Experience working in SharePoint is helpful.
- High School diploma or equivalent.
- 2 to 4 years of related clerical and office experience.
