SUMMARY
Under the direction of the Pledge (Gift) Processing Manager, responsible for the day-to-day operation of paper gift processing, including data entry of all gifts, bank lockbox retrieval, quality control checks, mailing and filing. Act as a functional lead for the Seasonal Pledge Processing Staff during Fall Fundraising Campaign, monitoring all paper processing tasks. Activities are summarized below as they relate to each area. This position reports to the Manager, Pledge Processing.

RESPONSIBILITIES
Include the following, but are not limited to:

GIFT PROCESSING DEPARTMENT ADMINISTRATION
  • Administer the daily entry of donor gifts and pledges received through the mail, lockbox or through workplace giving campaigns.
  • Administer the processing for gifts that need special handling, including endowments,
  • sponsorships, and gifts-in-kind.
  • Provide support and assistance in receiving and inputting gifts from donors who give $10,000+ (Tocqueville Society donors).
  • Assist in maintaining Tocqueville Society donor information, including scanning and filing.
  • Assist with annual quality check of donor pledge forms and online giving system information.
  • Assist in retrieving and preparing data for annual financial audits

SEASONAL PLEDGE PROCESSING FUNCTIONAL LEAD

  • Oversee and train Seasonal Pledge Processing Staff hired during Fall Campaign season to perform paper

pledge/gift entry. Assign tasks to Seasonal Staff including audit, data entry, and edit work.

  • Schedule Seasonal Staff, answer staff questions and re-train as appropriate, research issues, provide back up for task completion as needed.
  • Respond to and resolve paper pledge/gift processing issues and Seasonal Staff questions with a high

degree of independence, escalating issues as appropriate to Pledge Processing Manager, and identifying areas for improved training or procedure enhancements.

  • Create and administer Seasonal Staff training on pledge processing topics including audit, input, edit, deposit,adjustments, and Help Desk support.
  • Assist in creating and maintaining policies and procedures for Seasonal Staff.
  • Communicate progress and resolution with key stakeholders. Escalate major issues to Pledge Processing Manager.
GENERAL PLEDGE PROCESSING SUPPORT
  • Provide backup for electronic gift processing workflows, including downloading transaction reports, preparing excel files and performing quality assurance on transactions.
  • Collaborate with Donor & Agency Help Desk Lead to resolve donor and transaction issues.
  • Responsible for reviewing and resolving payment balance report, in collaboration with Finance team.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.

EDUCATION & EXPERIENCE REQUIREMENTS
  • Minimum associate degree, preferably in Finance, Accounting or Communications
  • Two or more years’ experience in finance or administrative support.
  • Two or more years’ experience in customer service.
  • High competency in Microsoft Excel, Word, and Outlook.
  • Experience working with a Customer Relationship Management (CRM) database.
  • Excellent written, phone and face-to-face skills.
  • Demonstrated attention to detail.
