Position is responsible for assisting with the day-to-day operations of the sales/office department. Act as first point of contact to clients, provide excellent customer service to clients/vendors.

This position is a great stepping stone into becoming one of our Event Specialists at A Spice of Life! We love to promote our staff internally. All of the Assistant’s job responsibilities will only make the right candidate a better Event Specialist if that is a desired career path.

KEY RESPONSIBILITIES
· Answering phones, distribute all leads to event specialist/sales team, take payments and deposits over the phone, placing rental orders and building event itineraries.

· Assist Sales Manager by creating proposals, production sheets, change sheets and routing to event staff in timely manner. Ensure all paperwork is routed to Event Staff, Operations and Kitchen Departments.

· Assist event specialist/sales team in placing rental orders for events & confirming with rental company as needed.

· Assist Sales Manager and Office Manager as needed. This may include creation and organization of printed materials, making wedding binders, picking up lunch, and maintaining cleanliness of the Sales Office and act as Liaison between ASOL and property Management

· Oversee sales office SOP and communication with Operations.

· Assist Sales Manager in sending Thank you notes and/or post cards to all brides, social and corporate clients, and wedding show attendees. Include any marketing material when applicable.

· Assist in maintaining order and cleanliness in the office. Bring any office supplies, equipment, and major maintenance issues to the Office Manager’s attention.

· Recommend new projects, systems, and procedures to increase efficiency, productivity and improve service.

· Comply with the dress code and hygiene policies.

· Be available to work off site as needed to attain more knowledge of the entire sales cycle.

SKILLS AND ABILITIES

· Organization, strong attention to detail

· Customer Service, excellent communication skills both written and verbal

· Ability to switch focus and think on your feet

· Work with accuracy and ensure confidentiality for clients and employees

· Experience in hospitality/food service a plus

· It takes an extremely organized, professional, motivated, and committed person, with detailed knowledge of ASOL’s systems and policies to hold this position.

· Requires knowledge of food and the food service industry, communication skills and the ability to navigate Microsoft Office, Outlook, and Internet.

Job Type: Full-time

Pay: $17.00 - $19.00 per hour
