Vertex – Technology & Training Solutions - Learning and Development Project Liaison I

Position Overview

The person who fills this position is responsible for coordination, execution and support of all learning program aspects including learning implementation, learning management system (LMS) support and registration, budget monitoring and reporting, schedule and communication, deliverables, customer relationship / interface, and logistics for training events across the country. The person who fills this position must be a critical thinker, a self-starter, and have the ability to work within a geographically dispersed matrixed organization. Travel will be required for this position, including possible international travel. The ideal candidate must possess the ability to work proactively, efficiently and effectively within budget, teaming with co-workers, internal departments and the end customer.

Duties and Responsibilities

  • Assist in intake new work and assist with developing scope, schedule and cost estimates

  • Provide end-to-end logistical support for training classes and events for local and remote locations

  • Handle all aspects of coordination of training to include classroom setup, instructors, students, registration sites, preparation of class and event engagement activities such as surveys and polls, and order all necessary catering, class materials, and equipment

  • Coordinate, update, and retrieve content from online repositories

  • Proactively manage tasks to mitigate known and unexpected issues that could impact the timely and successful execution of an event

  • Provide facilitation support during live and remotely delivered classes (i.e., assist with class exercises and interactions, run virtual meetings, troubleshoot access or other technical issues for attendees and presenters)

  • Support with the creation and maintenance of internal process documents

  • Timely and accurate collection and completion of all billing information for classes and programs

  • Assist the program manager/deployment manager in ensuring budgets are adhered to and potential cost overruns are contained

  • Clear, concise and accurate communication with all levels of the organization to include vice presidents, learning leads, students, facilitators and/or speakers

  • Exercise independent judgement and decision-making skills to mitigate known and unexpected issues that could impact timely and successful training event

  • Create event registration websites using Cvent or similar event management tools

  • Manage multiple program email inboxes concurrently

  • Extensive use of Learning Management System (LMS) to schedule courses/classes, update enrollments and completions, and generate reports

  • Daily use of a Workflow Management System to track and manage class/program information, requirements and completion of tasks associated with event support

  • Management of learner progress through certification processes, including monitoring of student progress, communication to students, and reporting to business learning POCs

  • Proficient with Microsoft Office (Excel, PowerPoint, Word), to include Project

  • Excellent customer service, interpersonal, written and verbal business communication skills

  • Strong organizational and time management skills with attention to detail

  • Experience running reports to provide status updates to customers e.g., set correct parameters, analyze the data for accuracy, summarize data and format the report output for easy review

  • Ability to prioritize and self-manage work assignments to meet project deadlines and cost expectations

  • Experience tracking budget items and controlling expenditures

  • Ability to obtain a D.O.D. Secret security clearance

  • Ability to commute to other local event centers/venues and up to 10% overnight travel

Required Skills

  • Minimum one year of professional experience supporting learning and project coordination in a customer facing environment

  • Intermediate skills in Microsoft Excel, PowerPoint and Word, examples include:

    • Analyzing data to generate reports, summarize results, identify trends and problems, and suggest solutions

    • Using Microsoft Excel and PowerPoint to present the results of analysis in a clear way to influence stakeholders

    • Using formulas, and generating pivot tables, charts, and graphs in Excel

  • A proactive, self-starter with effective teaming skills

  • Demonstrated experience supporting business project management and execution in a customer-facing environment

  • Ability to develop cost estimates based on requirements and monitor performance against an established budget

  • Proven ability to identify, evaluate and resolve problems quickly and effectively

  • Must possess excellent interpersonal, written, and verbal business communication skills

  • The ability to lift up to 35 pounds

Desired Skills

  • Knowledge of the learning and development industry, training/program administration, and both virtual and in-person classroom/event logistics

  • Understanding of financial statements such as budget detail, cost actuals, billing operations and/or P&L reports and earned value management practices.

  • CAPM Certification a plus

Required Education

  • AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.

  • Eight years professional experience with a high school diploma or higher may be considered in lieu of degree
