National Grid Ventures US Northeast is an exciting and significant part of NGV. We own and operate several powerplants on Long Island, are developing the Community Offshore Wind project off of New York, and are developing and constructing transmission lines in New York State.

The Executive Assistant plays a critical role providing crucial administrative support maximizing the impact of our NGV US Northeast President. This is a dynamic and fast-paced position, requiring a highly organized professional, who can juggle many tasks at once, and is comfortable interfacing with all levels of internal management and staff as well as with external stakeholders.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and meticulous organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This is a highly visible role, supporting the President with various engagements with Chief Executive Officers and other C-suite executives, senior government officials, and other key internal and external stakeholders.
Key Accountabilities
- Effectively and efficiently manages internal and external stakeholder engagements and demands through a complex calendar, travel logistics, numerous internal and external phone calls, and expense reports with multiple exchange rates, handling all details with competent expertise.
- Coordinate complex logistics for travel by developing itineraries, booking domestic and international flights and other transportation, arranging accommodation, and meeting coordination, and ensuring that all expense information is provided;
- Continuously monitors and manages multiple methods of communication through internal/external email, internal/external phone calls, and in-person inquiries.
- With high degree of autonomy and with minimal guidance, assist President’s Chief of Staff to plan and implement meetings, events, etc.
- Treats sensitive/confidential information with appropriate discretion. Identifies and evaluates opportunities to improve process, efficiency and ways to increase productivity by eliminating low/no value processes/activities while striving to maintain the highest quality at the lowest cost.
- Facilitate meeting agendas and ensure the right people have been invited; request and distribute information in advance to ensure meeting attendees are well briefed and ready to join a productive discussion
Qualifications
- Minimum of 10 years of experience supporting Senior Level Executives
- Associates Degree preferred, but not required
- Proven competencies in Microsoft Office, including Word, Excel, Power Point and Outlook required.
- Demonstrated ability to deal with ambiguity effectively under pressure, and rapidly acclimate to changing circumstances while maintaining sound judgment and common sense
- Experience assembling and managing highly confidential and sensitive information with utmost discretion (e.g. C-Suite regulatory and customer issues; board documents, salary information; sensitive employee and HR matters, etc.).
- Maintains/cultivates excellent working relationships with leadership teams and their assistants across US and UK.
- Customer oriented - Takes personal responsibility for correcting problems promptly and communicates effectively with external and internal customers to monitor delivery and satisfaction.
- Attention to Detail - Reviews accuracy of own work and checks that all details are accurate to ensure multiple tasks and projects are completed on time.
- Analytical Thinking – Identifies basic relationships, with the ability to prepare special reports by combining and summarizing data from several sources.
- Initiative – Recognizes and proactively addresses upcoming opportunities or obstacles and can investigate the situation beyond routine questioning.
