Job Summary
We are currently seeking a high-energy, organized, and professional Executive Assistant to support our CFO and SVP of Mergers & Acquisitions based out of our world headquarters in Avon Lake, Ohio. This role will serve as the first point of contact for many employees, clients, and industry partners. For this reason, the Executive Assistant is expected to embody, embrace, and convey our highest values in this role and will need to establish and maintain a high bar of professionalism and a proactive approach.
Essential Functions
- Provides diversified administrative support including scheduling, travel arrangements, and coordination of meetings.
- Support personal needs such as scheduling, arranging appointments/meetings, and run errands as required.
- Serves as a liaison to internal and external stakeholders and interacts with the most senior leaders in the market.
- Communicates as needed on behalf of the CFO and SVP, including composing, editing, managing and documenting correspondence at executive levels.
- Consistently follows through on deadlines and projects, taking initiative on all work requests, providing status updates to managers and team as needed.
- Anticipates needs and issues; recommends and takes action to proactively resolve challenges.
- Prepares confidential and sensitive documentation and correspondence that may be distributed to various internal and external stakeholders.
- Prepares presentations within PowerPoint while sourcing information from other systems and/or databases (i.e. Excel, Word, etc.). Edits and proofreads complex documents for accuracy.
- Plans and supports meetings onsite and offsite, including arranging all conference rooms, site details, catering, room setup and managing the agenda.
- Develops itineraries and agendas, and compiles documents for travel related meetings (including assisting with passports, visas and invitation letters)
- Manages applicable calendars, proactively managing overlaps, required meetings, and conflicts.
- Manages and submits expense reports.
- Performs document management and signature management, including use of electronic tools such as Adobe and DocuSign.
- Manages sensitive matters with a high degree confidentiality and discretion.
- Acts as the point of contact among executives, employees, clients, and other external partners.
- Partners with other executive assistants timely and accurately.
- Manages information flow in a timely and accurate manner.
- Other projects / duties as assigned.
Education and Experience
- Bachelor's degree required or equivalent work experience
- 3+ years of relevant executive assistant experience in a similar role within a global organization

- Ability to work in a fast-paced organization where multitasking is essential
- Excellent written and verbal communication skills
- This position often requires the handling of sensitive information with professionalism and integrity, with a need to maintain strict confidentiality and demonstrate discretion in communication with others
- A high degree of responsiveness and independent judgement to plan, prioritize and organize daily
- Strong sense of professionalism and ownership reflected in presentation of work and interactions with colleagues and stakeholders
- Very strong interpersonal skills and the ability to build relationships with key stakeholders
- Resourceful, well-organized, have great time management skills and be able to act without guidance
- Must be flexible, demonstrated ability to work with tight deadlines and timeframes, paying high attention to detail
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
- Must have traits: Positive, engaging, high energy, growth mindset, proactive, and the ability to get along well with others.
