Donor Relations Administrator for a Not-for-Profit Cat Shelter - Part-time (up to 10 hours/week), Remote
Nine Lives Foundation is a 501(c)(3) non-profit organization based in Redwood City, California, that rescues at-risk cats and kittens, provides them with medical care, and finds them loving homes. We also provide low-cost spay/neuter clinic and vaccines clinic services for rescuers, rescue groups, and the community.

We are seeking a part-time Donor Relations Administrator to work closely with the Executive Director, Board and fundraising consultant to manage our database of over 16,000 donors, engage with donors, and run fundraising campaigns. Responsibilities:
Weekly Donor Admin:
- Report on large unacknowledged gifts; assign to Board and select staff using most recently available templates
- Ensure that donor interactions (emails and calls) are recorded in our donor relationship management database Donor Perfect
Monthly Donor Admin:
- Report on unacknowledged gifts of $100+; assign thanking tasks to Board, select staff, and volunteers
- Create and distribute thank you email templates - typically involving a compelling short story about a cat or kitten and/or inspirational data, paired with a photo and including an ask about what inspires their gift
- Ensure that thanking contacts are recorded
- Generated monthly fundraising reports from Donor Perfect for Board Mtgs; to be reviewed by leadership
- Run duplicate tracking tool in Donor Perfect and clean / merge newly generated duplicates
- Partner with Nine Lives bookkeeper to reconcile Donor Perfect with QuickBooks
As Needed Fundraising Support:
- Create and promote specific fundraising campaigns, publishing the form in Donor Perfect, testing it, and collaborating with the communications calendar manager to promote it on the website, social media, etc.
Annual Donor Admin:
- Track upgrades / downgrades, create reports of donors at various giving levels, create management reports for leadership to understand fundraising performance
Communications Admin:
- Monitor “story engine” (where staff and volunteers maintain photos and stories about cats and kittens) for fundraising appeal content, flag accordingly
- Monitor story engine for acknowledgment content, flag accordingly
- Manage communications calendar, coordinate email communications and social media posts
Events Support
- Guest management (e.g. creating invite lists, RSVP tracking in Donor Perfect)
- Post-event follow-up (e.g. receipting, thanking)
- Vendor management and misc. logistical tasks
Qualifications:
- Excellent writing ability; sample required
- Excellent written and verbal communications
- Strong detail orientation
- Comfort in all of Microsoft office, especially Excel
- Comfort in Google Docs / online doc sharing
- Experience with data management and/or administration and/or strong technical skills and comfort learning new platforms
- Strong interpersonal skills / strong customer service background
- Experience in a CRM (Constituent Relationship Management database) a bonus (e.g., Salesforce, Razor’s Edge, Donor Perfect) preferred
Work hours - approximately 10 hours per week, remote
