Overview
Under the direction of the Archives Manager, provides administrative support to Archives Clients and internal team. Coordinates daily activities to ensure accurate work-order processing and client satisfaction.
Responsibilities
- Answers phone calls, schedules meetings and supports visitors/vendors when onsite visits are required.
- Carries out administrative duties to include invoicing, creating and modifying client accounts, copying, scanning, data entry.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies
- Completes operational requirements by scheduling and maintaining work orders to keep current service deadlines, as well as understanding of warehouse operations.
- Performs follow up activities with staff to ensure accuracy on daily metrics and that all files are complete and thoroughly reviewed.
- Processes changes for services as requested, updates change of address records for clients.
- Prioritizes daily tasks to ensure deadlines are met,
- Provide outstanding value, excellent communication, a willing attitude, reliability, and a professional image, an assurance of excellence, customer empathy, and exceptional service.
- Maintains communication throughout the process with clients, operations and management.
- Set up and maintain all records for assigned clients.
- Verify services are performed as scheduled.
- Alert appropriate parties to any changes, modifications to schedule, etc.
- Communicates directly with the client to schedule and confirm appointment times, delivery, and start times for all assigned jobs within the system.
- Maintains training on all company programs, systems, software, and administrative protocols.
- Adheres to any/all contractual guidelines pertaining to the service activities.
- Other administrative duties, as assigned
Qualifications
- Minimum of 2-3 years’ customer service and office/clerical experience.
- Proficient using Microsoft Office 365; MS Windows-based software applications.
- High School diploma or equivalent.
- Stellar customer services, follow up, communication (verbal and written), and administrative skills.
- Proven problem-solver, detail oriented, analytical, and decision-making skills.
- Ability to work in a fast paced, multi-tasked, and electronic environment.
