TITLE: BOOKSTORE ACCOUNTANT

QUALIFICATIONS:

  • A high school diploma or equivalent.
  • At least two years experience in accounting/bookkeeping is required.
  • Any combination equivalent to training and experience that could likely provide the required knowledge, skills and abilities.
  • Possess or have the ability to obtain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card within forty-five (45) days of employment.

JOB GOALS:

The Bookstore Accountant organizes, maintains, and accounts for the successful operation of the high school bookstore.


PERFORMANCE RESPONSIBILITIES:

The following tasks are essential for this position. This list is not inclusive of all responsibilities. Individuals may not perform all of these tasks, or may perform similar related tasks not listed.

  • Complies with all HIPAA and FERPA related confidentiality requirements.
  • Develop positive relations with students, parents, school staff and the public.
  • Check textbooks in/out; sell school supplies to students.
  • Maintain a complete accurate set of books for the bookstore and for student activities.
  • Place orders and maintain accurate inventory of products.
  • Accept and account for payments ensuring all funds collected are safeguarded according to established policies and procedures.
  • Prepare and deposit funds in identified bank accounts in a timely manner.
  • Notify Business Services of all deposits.
  • Review auxiliary/tax credit/student activities purchase requisitions for completeness, accuracy, and adherence to procurement requirements.
  • Issue student activities purchase orders and checks.(Strike through)
  • Prepare revolving funds auxiliary/tax credit checks according to established guidelines.(strike through auxiliary/tax credit)
  • Reconcile auxiliary bank statements to bookstore accounting records.
  • Receive and distribute deliveries from the warehouse.
  • Balance and maintain an auxiliary revolving account.
  • Assist administration in maintaining budgets.
  • Collect student club Constitution/Bylaws and minutes authorizing purchases.
  • Accurately document account codes on district purchase requisitions.
  • Audit and reconcile club, auxiliary, and (strike through and) Credit for Kids and gifts and donation accounts.
  • Coordinate with the warehouse to dispose of outdated textbooks and inventory according to policy.
  • Communicate with students and parents regarding unpaid student balances.
  • Conduct training of proper procedures and paperwork to PHS and RCMS employees as needed.
  • Meet with the Director of Business Services to communicate audit findings and ensure effective processes are followed.
  • Prepare and submit monthly Use Tax Reports to the Arizona Department of Revenue.
  • Prepare annual Tax Credit Report(s).
  • Act as a resource to Rim Country Middle School (RCMS) staff in relation to bookstore accounting software and audits.
  • Oversee bookstore assistants.
  • Perform other related duties as assigned.

MINIMUM KNOWLEDGE, SKILL AND ABILITY:

Knowledge of:

  • District policies, operations and organization.
  • Customer service skills including tact, courtesy, and diplomacy.
  • Communication (telephone, email, etc.) etiquette.
  • Modern office equipment including personal computers and related Accounting/bookkeeping software.
  • Office environment procedures and practices.
  • The Google Suite of tools (Google Docs, Google Sheets, etc.).

Skill and Ability to:

  • Provide and understand Customer service needs with students, parents and staff.
  • Successfully produce accurate, timely work that involves prioritizing/multi-tasking and demands in a frequently-interrupted environment.
  • Order and maintain bookstore inventory.
  • Perform office related duties.
  • Communicate effectively orally and in writing.
  • Analyze situations accurately and adopt an effective course of action.
  • Organize and maintain complex records and files.
  • Establish and maintain effective and cooperative working relationships with others.

  • Requires vision (which may be corrected) to read small print.
  • Requires the mobility to stand, stoop, reach and bend. Requires mobility of arms to reach and dexterity of hands to grasp and manipulate small objects.
  • Perform work which involves the frequent lifting, pushing and/or pulling of objects which may approximate 50 pounds and may occasionally weigh up to 100 pounds.
  • May be required to work within enclosed spaces or at heights above ground level.
  • Is Subject to inside environmental conditions.

REPORTS TO: High School Principal


EVALUATION:
Performance of this job will be evaluated annually by the Principal in accordance with the provisions of Governing Board policy for evaluation of classified personnel.


TERMS OF

EMPLOYMENTS: 12 Months


SALARY:
Salary for the position is set according to the Classified Salary Schedule determined by the Governing Board.
