Department Summary
The Registrar’s Office support students by offering a variety of student services, i.e. registration, degree awarding/verification, commencement, official transcripts, and VA certifications. Our duty is to maintain integrity of our students’ academic records. Position Overview
Under the general direction of the Registrar, the Assistant Director will serve as a team leader ensuring quality in the daily operations of the Registrar’s Office. The Assistant Director oversees a variety of specialized duties related to student registration, catalog preparation, course/room scheduling, degree audit, graduation processing, transcripts, residency, reporting, and other student records functions. In addition, this position involves working independently toward general and specific results, devising new work methods, updating and streamlining data and processes on a number of electronic technological platforms, and meeting new conditions necessitating a high degree of ingenuity, initiative, and/or judgment and performs related duties included in this position.

Minimum Qualifications

Bachelor’s Degree and five or more years of progressively responsible experience in academic administration or a related field; or any equivalent combination of education, training and experience.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:

  • Master’s Degree.
  • Experience working as a supervisor in a college or university registrar’s office.
  • Experience with class/room scheduling, query writing, data reporting, veteran’s affairs, and student record keeping.

Job Duties

o
Analyzing current academic records processing functions and recommend system changes resulting in efficient, accurate and prompt communication with students.

o
Serving as functional liaison with Registrar to provide ongoing training to staff and resolve functional and/or training issues.

o
Assisting in analyzing and supervising the data entry processes and communication systems within the Registrar’s Office ensuring accuracy and functionality and ultimately, timely communication with students.

o
Supervising the class/room schedule and catalog operations for the University.

o
Supporting the operations necessary for the enrollment of students.


o
Safeguarding the integrity of student records data and work to ensure necessary quality assurance measures are identified, put in place and maintained.

o
Identifying systems needs and evaluate service solutions within the context of the student information system and recommend new and emerging technologies that support strategic, academic and enrollment objectives.

o
Working closely with others within the Office of the Registrar, Information Technology, Strategic Analysis and Reporting, and others across the university on data and systems matters related to registration, scheduling, timetabling, grading, student records, transcripts, academic standing, data integrity and operational reporting.

o
Providing outstanding supervisory, presentation, written and verbal communication, as well as a demonstrated commitment to outstanding customer service.

o
Working with the Registrar to provide guidance and answers to staff and students about all aspects and processes for which the Office of the Registrar is responsible.

o
Assisting with the research, analysis, and reporting of state and federal policies, development and implementation of university registration and academic records procedures; and the reporting on compliance strategies in support of the University’s mission, goals and objectives.

o
Overseeing the validation and correction of data; may develop graphic representations of data and produce reports.

o
Assisting in the development and maintenance of appropriate data standards and process data requests.

o
Ensuring compliance of federal, state, and institutional policies.

o
Providing assessment of procedures and continual improvement of delivery of services.

o
Monitoring registrar-related regulatory changes and keep current on best practices within the enrollment management field.

o
Working closely with the Registrar to develop routine and ad hoc reports and analyses that support operational needs, ongoing enrollment projections, and strategic short-term and long-term needs.

o
Ensuring integrity of academic data to allow for accurate reporting.

o

Supporting ongoing system implementation and database management.

o

Assisting the Registrar to keep the course inventory file up-to-date and accurate.

o

Validating and/or correcting student, course, section, and faculty data to produce timely and accurate reports.

o

Working with the academic and administrative offices to gather information, dates, and details to produce the catalog and course schedule.

o
Interacting with other functional departments and the admissions office to solve registration problems.

o
Overseeing registration, registration reports, class rolls, and grade rolls.

o
Participating as a member of the Registrar’s staff in convocation, commencement exercises and other key University and other enrollment management events.

o
Representing the Registrar’s Office in a public-speaking capacity both on and off campus and maintains records of these activities.

Serving on office committees as assigned.

o
Assuming authority of the Registrar in the Registrar’s absence.

Performing other duties and responsibilities as assigned.
