As a member of the Admissions Leadership Team, the Assistant Director provides leadership to meet the undergraduate enrollment targets of the University, increase the profile and image of the University, plan and execute recruitment strategies, manage the Admissions Welcome Desk operations and provide oversight and leadership for the wide variety of campus visit programs and admissions events in conjunction with a Program Assistant, student staff, and other Admissions staff.

The Assistant Director builds and maintains relations with people and organizations to meet the University’s goals. The Assistant Director reports to the Associate Director of Admissions and provides oversight for the Admissions Welcome Desk operations and campus visits and admissions events, collaborates with internal and external constituents involved, and coordinates with the Program Assistant and other admissions staff for the planning and implementation of visits and events while adhering to all university policies and procedures. Additionally, the Assistant Director prepares reports, participates in staff meetings, assists in managing communication flows to prospective students and applicants, and collaborates with other department units to achieve department goals. In the absence of the Director and Associate Director, the Assistant Director will be responsible for coordinating with other unit leaders to provide guidance and leadership for the Admissions Office.

RESPONSIBILITIES:

Oversight of the Admissions Welcome Desk Operations

  • Hire, train, and supervise Admissions Welcome Experience staff comprised of 1 Program Assistant and an Ambassador Team of around 10 students on average.

  • Provide clear policy and procedural guidelines for the operations of the Welcome Desk and develop and update training manuals to ensure staff maintain current knowledge of operating procedures for the Admissions Office.

  • Manage Welcome Desk operational budgets including staff salaries, office supplies, and marketing material inventory.

  • Liaison with other campus departments and provide welcome desk staff with updates so they can direct incoming general calls and emails to the appropriate offices.

  • Responsible for troubleshooting and resolving a broad range of complex issues that arise in the operation of the Welcome Desk and serve as final decision-making authority for resolving issues in the absence of the Associate Director and Director.

  • Utilize the CRM, Slate, and collaborate with the Slate Team and Operations Team to manage and update student records.

  • Create and distribute reports on Welcome Desk activity to the Admissions Leadership Team and provide data driven solutions to improve operations.


  • Oversight of Campus Visits and Events

  • Provide leadership and oversight of all Admissions on-campus and virtual visit and event programs including daily campus tours, information sessions, group visits, and larger special events such as Preview Days and Admitted Student Days.

  • Develop an annual plan and budget for all visit and event programs.

  • Direct support staff in the execution and coordination of all logistics, including working with vendors and suppliers providing goods and services, for all visit and event programs.

  • Utilize the CRM to create events, manage registrations and event communications, and provide event and visit reports.

  • Collaborate with the Admissions Marketing Team and the Slate Team to market and communicate visit and event information and setup all backend processes for the event registration system.


  • Student Ambassador Supervision

  • Hire, train, lead and mentor the Student Ambassador Team that will assist in the execution of all visit and event programs including but not limited to: planning, assigning, and directing of work, appraising work performances, and rewarding and disciplining team members.

  • Coordinate team member schedules to ensure coverage for all tours, information sessions, and events.

  • Develop operating procedures and guidelines for team members.

  • Provide direction and guidance on campus tour routes, information session execution, and event responsibilities.


  • Support for Recruitment Team in Advising of Prospective Students and Families

  • Serve as backup for Advisor on Duty to advise prospective students when Recruitment Team members are unavailable.

  • Deliver information sessions and tours as needed in absence of staff.

  • Contribute to and support implementation of recruiting and advising strategies.

  • Participate in trainings and professional development opportunities to strengthen knowledge of advising practices.


  • Other duties assigned

    May include but not limited to:
  • Participate in national and regional Collegiate Information and Visitor Services Association (CIVSA) meetings and conferences to stay informed of industry trends and best practices.

  • Attend relevant webinars, conferences, and other professional development opportunities related to marketing, communications, and visits and event planning.

  • Assist with other university events as needed.

  • Participate on university committees as appropriate.


  • MINIMUM REQUIREMENTS:

  • Bachelor's degree in Education, Communications, Business, Psychology, or related degree

  • At least 2 years of event planning, welcome desk, and customer service experience.


  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS:

  • Experience serving diverse populations.

  • Knowledge and experience of university admissions processes.

  • Excellent written, oral, and interpersonal communication skills.

  • Excellent organizational skills

  • Ability to work effectively and cooperatively with colleagues, the public, students, faculty, and community members including those from various cultural and socio-economic groups.

  • Ability to work independently in developing and implementing on-campus events.

  • Effective management of scheduling appointments.

  • Ability to collect data and create reports.

  • Experience using a Customer Relationship Management (CRM) system.


  • DESIRED:

  • 2-4 years of work experience in an educational setting planning and managing events and handling customer service issues.

  • Supervision experience.

  • Experience in admissions counseling and recruiting.

  • Knowledge of federal, state, and local laws, regulations, and policies related to student records, information systems, admissions, and registration.

  • Experience using the CRM, Slate.


  • WORKING CONDITIONS:

  • Standard work hours are Monday through Friday 8:00am to 5:00pm with work performed primarily in-person in an office setting on-campus. A hybrid schedule with remote work options is possible.

  • Evening and weekend work will be required as needed to oversee and manage visit and event programs.

  • Must be able to lift/move approximately 50 pounds of materials, displays, and equipment for events.
