Summary:

The Administrative Assistant III is a senior-level assistant expected to provide complex administrative tasks and will typically be supporting one or more senior-level staff, in addition to office staff. The Administrative Assistant III will be expected to use greater judgment in accomplishing tasks. Advanced computer skills and internet research skills are required. The Administrative Assistant III may be tasked to serve in an acting role for the Project Manager in his/her absence.

Essential Duties:


  • Provide administrative support and exceptional customer service to a program office of 60+ individuals to effectively organize, prioritize, and coordinate multiple detailed work assignments in a fast-paced and time-sensitive work environment.
  • Manage coordination with internal and external organizations and offices and staff to coordinate activities promoting agency priorities, e.g., coordinating meetings and preparing briefing papers, publications, and correspondence.
  • Assist with conference room setup prior to in-person and hybrid meetings, including audio/visual setup.
  • Escort visitors in/out of DOT Headquarters as requested by the program office.
  • Compile, coordinate, and edit various internal and external correspondence, technical documents, and executive papers.
  • Prepare travel reservations, authorizations, and vouchers in E2.
  • Coordinate agency review and approval processes for the publication of executive documents, such as technical reports, Federal Register Notices, Docket submissions, conference presentations, specialized Research plans, Reports to Congress, etc., utilizing an automated correspondence control system (EDMS).
  • Assist with the organization and maintenance of files for all manner of documents and executive papers utilizing automated tracking systems and archival repositories, such as SharePoint and EDMS.
Requirements:

The Administrative Assistant III labor category must have the following qualifications:

  • Advanced computer skills and internet research skills in computer systems and software such as Microsoft Office Suite (to include MS Word, Excel, PowerPoint, Access, and Outlook);
  • Three to four years of experience performing complex administrative tasks and supporting one or more senior-level staff, in addition to office staff;
  • Prior experience in office operations;
  • Capable of supervising less experienced administrative assistance staff within each functional work area; and
  • Ability to apply judgment in accomplishing tasks.
