Position Summary:
Answer telephones, greets, assists and directs visitors, patients and other clinic office callers. Guides, screens and registers new patients. Assists participants with their badges, ensures accurate monitoring of participants’ attendance. Daily data entry to ensure appropriate records of participants and staff attendance. Perform clerical duties to support the daily business activities of the location. Responsible for providing excellent customer services. Ensures participants’safety at all times. The PACE Receptionist is responsible for scheduling appointments, interviews, developing power point presentations, preparing binders, meeting agendas, generating reports, conducting data entry as needed and ordering necessary supplies for day center and PACE clinic.

Essential Functions of the Job:
1. Greets people upon arrival answers telephones, routes callers, provides information to

visitors, staff and participants.

2. Schedules appointments in person. Assists with translation as needed.

3. Retrieves patient’s registration information and confirms and verifies patient’s information.

4. Responsible for keeping track of participants daily attendance and monitoring transportation services

5. Performs registration of all participants’ assessments and tracking of new intakes.

6. Answers inquires, assists enrollees/patients to utilize health care delivery system.

8. Obtains, records and analyzes financial information.

9. Renders accurate and timely data entry of all program eligibility and registration information.

10. Request medical records for patients that come in without an appointment.

11. Provides assistance, guidance and direction to visitors and patients. Calls for an escort when necessary.

12. Assists in care and maintenance of department equipment and supplies.

13. Responsible for incoming and outgoing interoffice and regular mail

14. Provides assistance to PACE Center Manager as needed

15. Interfaces, assists, and acts as liaison between PACE Administration and other departments.

Additional Duties and Responsibilities

1. Maintains established departmental policies and procedures, objectives, quality

assurance program, safety, environmental and infection control standards.

2. Participates in educational programs and in-service meetings.

3. Attends meetings as required.

4. Performs other related duties as assigned or requested.

Education Required (Minimum level of education): High School or equivalent.

Certifications/Licenses Required: CA Driver’s License preferred.

Experience Preferred: One-year receptionist in medical setting (optional).

Verbal and Written Skills Required to Perform the Job: Good written and

verbal communication skills.

Technical Knowledge and Skills Required to Perform the Job: Verbal ability for accurate and

tactful explanation. Excellent Computer skills.

Equipment Used: Multi-extension phones; CRT/PC, Typewriter and other office machines.

Working Conditions and Physical Requirements: May be required to lift approximately 25 lbs.

Mostly sitting position. May be required to travel to other sites. May be required to work

evenings and/or weekends.

One year experience working with frail, elderly population

Universal Requirements

Pre-employment requirements include I-9, physical, positive background and reference check results, complete application, new hire orientation, pre-employment PPDs

HIPAA/Compliance

1. Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.

2. Comply with all regulations regarding corporate integrity and security obligations. Report unethical, fraudulent or unlawful behavior or activity.

OSHA compliance

Comply with all regulations and required schedules regarding OSHA training.

PPD Compliance

Required health screening to be performed annually.

Policies and Procedures Compliance

Responsible for following all SYHC Inc. policies and procedures.

Meal period Compliance (Non exempt employees only.)

Punch out before 5 hours from the start of shift for meal periods.
