Contract Role: Staffing Manager, Convention 2023
Rodan + Fields is seeking a highly motivated and experienced Staffing Manager to support the successful execution of Convention 2023. The ideal candidate is driven, enthusiastic and resourceful with the skills to work in a fast paced, ever changing environment. This position requires initiative, adaptability and team focus to drive success.
The Staffing Manager will report to the Manager, Event Operations and will work cross-functionally with multiple internal teams and vendors. This is a 5 month contract position.
Responsibilities
- Plan, organize and implement sustainable staffing strategy for Convention 2023.
- Onsite staff is estimated between 120 – 160 people
- Prepare overall staffing brief and manage deliverables on project plan
- Ongoing management of master staffing grid
- Partner with R+F Human Resources on Convention staff qualifications, approvals, trainings, code of conduct and safety protocol.
- Compile Convention staffing needs and take actions to staff accordingly.
- Work with Convention workstream owners on staffing needs including training schedules and Convention schedules.
- Distribute, collect, cross reference all workstream area briefs.
- Notify and receive approvals from managers, directors, and department heads.
- Notify employees about their roles and responsibilities as support staff for Convention 2023.
- Identify hard to fill roles and take proactive actions.
- Design and plan work shifts schedules.
- Manage staff schedules. Ensure staff schedules follow R+F HR protocol for non-exempt staff.
- Partner with travel agency to assist with Staff travel onsite
- Manage Staff registration process from beginning to end. Partner with Registration team.
- Manage Staffing app, HUBB
- Create and present and submit reports for upper management.
- Manage staff during Convention.
- Create Staffing Communication Plan and Escalation Plan
- Assist, not lead, training and updating all Convention support staff on roles and responsibilities for Convention.
- Lead larger staff trainings including (Convention Staff Kick-Off Meeting, Staff Training and Know Before You Go)
- Collaborate with agency staffing manager on Ambassador roles and resource levels
- Manage Ambassador workstream
- Partner with vendor and internal R+F staff on schedules, R&Rs and meals
- Attend assigned site visits
- Draft objectives for each site visit
- Schedule meetings with key partners
- Work with Operations Manager on budget updates
The Q ualification
- 5+ years relevant experience
- Team player who’s willing to drive projects start to finish, or jump in mid-workstream, if needed
- Experienced public speaker
- A proven track record to manage multiple projects
- Ability to build strong cross-functional partnerships and move projects forward
- Outstanding written communication skills
- Experience with staffing software
- Bachelor’s degree is required
