Spectrum Staffing, a TeamOne Logistics company, has an immediate need for an internal Administration Manager to join our growing team!
Position Summary:
Responsible for managing office functions throughout the organization. This will be achieved through aiding in the development of local recruiting plans, employing traditional sourcing strategies and resources as well as developing new, creative recruiting ideas to ensure Spectrum Staffing is hiring the best possible talent. Assist in day-to-day operations in accordance with company’s mission, vision and values. Contribute to efforts made by management to expand into professional service lines and assist with positioning the company for growth and increased profitability.

Primary Responsibilities:
Administration of general office tasks to include answering phones, documentation of employee calls, filing, copying, data entry, maintaining personnel files and employee database, and other duties as assigned
Act as point of contact among clients, candidates, employees and internal team members
Communicate effectively and efficiently with staff, clients and management over the phone, in-person and electronically on a daily basis.
Help build a pipeline of qualified candidates that match and fulfill the needs of outstanding client requests and match the needs of future client requests by:
- Helping to identify qualified candidates through, but not limited to: Sourcing by referrals, setting up job fairs, social media, creating job descriptions, online postings, etc.
Manage the full cycle recruitment process of onboarding new hires including, but not limited to:
- Verifying completeness of applications and pre-hire documents
- Running criminal background checks
- Conducting employment verifications and/or reference checks on candidates being considered for placement
- Administering drug screens or any other pre-employment screening as required by client
- Overseeing all new hire form completion (W-4, G-4, I-9, terms and agreements, policy training, orientation, etc.
- Running E-Verify
- Entering employee information and personnel records into company database
- Managing any other miscellaneous new hire administration and documentation as needed
Responsible for processing weekly payroll time entry, invoicing, and weekly/annual State and Federal tax deposits and returns.
Monitor and track employee attendance and provide coaching and/or corrective action as necessary.
Maintaining good record keeping and compliance with all applicable company protocols and state and federal requirements related to past, current, and potential employees and clients
Quarterly phone calls and/or on-site follow ups to gauge employee satisfaction
Secondary Responsibilities:
- Communicate with clients on a reactive as well as proactive basis (recruitment, retention, and HR support items)
- Participate in on-site client visits or in office client visits
- Gauge client satisfaction with placed candidates, upcoming needs of client, and performance level of Spectrum Staffing via phone calls and/or on-site visits
- Other ad-hoc administrative and client management support functions
Job Requirements:
- Must have previous experience working in a temporary staffing office and have a broad knowledge of the legal implications related to hiring, retention, and termination, including, but not limited to, Equal Employment Opportunity laws, employment contracts, and background investigations.
- Working knowledge of Applicant Tracking Systems; preferably Avionté Staffing and Recruiting Software
- Proven experience as a Payroll Administrator
- Possess both effective written and interpersonal communications skills to working closely with job applicants, employees, hiring managers and clients to ensure that all policies and procedures are being followed.
- Have the ability to work in a fast-paced environment, work well under pressure and capable of handling rigorous demands
- Must be capable of working discreetly with highly confidential information such as salaries and employment rec
- Position is subject to pre-employment drug / alcohol screening, criminal background check, verification of past employment and current work eligibility
Education
Bachelor’s Degree in Human Resources or related field preferred or equivalent work experience required.
Experience
Experience in recruitment and hiring processes preferred, two (2) years of experience in an office setting required.
