Position Summary:

The Site Manager is responsible for the daily and long-term administrative, strategic planning, development, implementation, and evaluation of a physicians office. Providing safe, efficient, cost-effective, and high-quality patient services is the focus of the operations.

Primary Duties & Responsibilities:

Management

  • Coordinates the daily and long-term strategic operations and scheduling management of staff/physicians through close interaction with Senior Regional Leadership, Chief Operating Officer (COO), and Physicians.
  • Understand and manage key performance indicators (KPIs). Utilize reports and tools through Power BI to identify opportunities for improvement.
  • Maintain a consistent and meaningful physician presence in the office.
  • Assist in developing, implementing, and revising policies and procedures to ensure everyone within their office adheres to the expected high standards of patient care.
    • Revision and upkeep of checklists and manuals, as needed, with senior leadership team.
    • Continue to evaluate office flow for effective patient care.
  • Responsible for a $10M-$20M P&L, including accountability to manage both annual and monthly EBITDA.
  • Manage inventory to appropriate levels by understanding key metrics and providing coaching to staff.
  • Understanding key drivers of financial performance and articulating variances to budget to Senior Regional Leadership and COO.
  • Responsible for petty cash management and co-pay collections.
  • Develop a strong understanding of job duties for all direct reports and the ability to cover/provide coverage and support/pull resources for positions when necessary.
  • Responsible for developing and implementing departmental policies, budgets, and strategic plans.
  • Pro-active process improvement to include patient cycle time and patient experience.
  • Ensures an environment of clinical and regulatory compliance aligned with key policies and procedures.
  • Manage the team:
    • Monitor and drive initiatives to improve and maintain retention.
    • Assists in assessing hiring needs and working with recruiting to bring in qualified team members.
    • Serve as a catalyst and mentor for motivating productivity, innovation, high employee morale, and organizational commitment.
    • Directly supervises office team of up to 30 members and proactively manages their performance and development, including but not limited to performance feedback, appraisals, and corrective actions.
    • Work with HR on employee relations issues.
    • Ensure consistent and fair treatment of all staff.
    • Analyze training needs for staff and work with the training team to implement and ensure proper completion of all training.
    • Conduct staff meetings to communicate new ideas, obtain feedback and maintain the overall effectiveness of the staff.
      • Morning huddles to review the day and any pertinent information required to manage the day.
      • Conduct monthly 1:1s with each direct report and with each on-site physician/APP.
  • Request and incorporate provider feedback for staff evaluations.
  • Manage labor expenses, including overtime and labor ratios (e.g., EBITDA/Labor$).
  • Drives improved clinical outcomes:
    • Superior patient experience by:
      • Ensure physician schedules are optimized and fulfillment rates of ~90%+ through managing bump lists, recalls, waitlists, no-shows, and same-day cancellations, providing feedback to the Patient Assistant Center (PAC).
      • Monitors office patient satisfaction scores and survey responses and provides feedback to providers while addressing key concerns.
    • Maintaining facilities and equipment cleanliness and safety by reporting and correcting hazards, when necessary, in compliance with all state and federal regulations, including OSHA.
    • Ensure Point of Contact (POCs) properly manage communication tools for patients/physicians.
  • Other duties as assigned.

Qualifications:

  • Associates degree and/or an equivale of 8 years of progressive leadership experience. Bachelors degree preferred.
  • Minimum five years of management experience in a healthcare setting.
  • Experience in budgetary and personnel management.

Travel:

  • Must have the ability & willingness to travel to other sites as necessary within a geographic region.

  • Excellent customer service skills.
  • Outstanding judgment, communication (verbal and written), and interpersonal skills.
  • Strong analytical and organizational skills with attention to detail.
  • Flexibility, problem-solving, and team attitude.
  • Proficient knowledge of medical terminology.
  • Proficient with computer software, Microsoft Office Suite, database, and typing skills.
  • Comfortable working in a fast-paced environment.
  • Very comfortable asking probing questions to patients.
  • Must demonstrate a professional, compassionate, and patient-first attitude.
  • Maintain HIPAA compliance.
  • Ability to type a minimum of 40 words per minute.
  • Demonstrated time management skills and ability to handle multiple priorities with shifting time frames and meet tight deadlines, self-starter with a high degree of initiative, urgency, and follow-through.

Physical Requirements for the Job:

  • Able to sit, stand and or walk throughout the day.
  • Intermittently required to stoop, bend, speak, and listen.
