Duties: The Office of the Provost and Vice President of Academic Affairs invites applications for the position of Senior Staff Assistant for Budget/Administration to serve as part of the Academic Affairs team. This position works collaboratively with the members of the Academic Affairs staff, the AVP for Budget to manage the daily budget/accounts activity throughout the Division as well as overseeing special Academic Affairs programs related to budget. This position also regularly interacts with a partner offices across many divisions of the college.
The successful candidate will have the following duties and responsibilities:
  • Monitor all Academic Affairs accounts; oversee tracking and provide information to Assistant Provost/Provost and staff as needed.
  • Communicate regularly with AVP for Budget and assist with related budget and fiscal management projects for Academic Affairs.
  • Create reports related to ongoing and annual budgeting process and daily account monitoring.
  • Develop allocation amounts related to work/study, faculty development, SUTRA, CRAL, Revenue Share, CAS, and AER for recommendation to the Assistant Provost/Provost and distribution. Manage budget transactions and transfers.
  • Manage the financial aspects of academic affairs searches, including travel and start-up funds
  • Review and approve purchase requisitions, Disbursing Orders, account reconciliations, and other budget-related documents before final consideration by Assistant Provost/Provost.
  • Work closely with staff managing the budgets in respective schools to develop understanding of budgetary needs, respond to questions, as well as to refine and maintain streamlined and effective processes.
  • Oversee the Administrative Assistant (AA1) in the tracking and processing of adjunct and extra service appointments related to accounts, budget, course load and credits.
  • Research policies and procedures to answer questions and provide information to a range of administrators and partner offices.

Qualifications: Required:
  • A Bachelor’s Degree
  • At least two (2) years of responsible administrative experience.
  • Experience using the Microsoft Suite of products, including Excel and ability to work with budgets.
  • Ability to:
o Communicate effectively interpersonally and in writing.
o Track and effectively manage multiple and competing tasks and project areas.
o Maintain confidentiality.
o Provide well researched and timely answers to inquiries.

Preferred:
At least three years’ administrative experience in higher education, including budget monitoring, management of accounts within SUNY. Experience in using relational databases, SUNY BI and other SUNY systems.
