  • GENERAL STATEMENT OF DUTIES

Secretary for the Sheriff's Department. The employee in this class assists with the performance of duties within the Sheriff's Department. Employee is under direct supervision of the Sheriff/or his designee.

  • ESSENTIAL FUNCTIONS
  • Prepare files for each case;
  • Refer cases to the correct agency;
  • Maintain ledger of all referrals;
  • Maintain ledger of all accidents in Juneau County;
  • Answer requests from insurance companies and attorneys regarding reports;
  • Prepare correspondence for Administration;
  • Order office supplies;
  • Transcribe taped statements and reports;
  • Prepare work files for the Detectives;
  • Maintain records of traffic reports and citations.
  • Appear in court on traffic matters
  • Make copies of reports for DA’s office
  • Perform data entry as required.
  • Sets up and assembles folders for all new cases, clients, complaints, etc.;
  • Responsible for the spotting of accidents and crimes on a map;
  • Perform civil process duties in the absence of the Office Manager.
  • Coordinate traffic court information with the Clerk of Courts Office.
  • Search and locate dispatch call information for public and officers.
  • Work with the District Attorneys Office to provide information for defense attorneys.
  • Knowledge of Open Records Law and applicable state statutes
  • Any other duties as directed by the Administration.
  • QUALIFICATIONS/EDUCATION/EXPERIENCE
  • Knowledge of office practices and procedures, terminology and equipment;
  • Knowledge of basic bookkeeping and record keeping methods;
  • Ability to use typewriter, computer and calculator;
  • Ability to prepare and maintain clear and concise records and reports;
  • Ability to maintain strict confidentiality.

Graduation from high school and some previous office experience preferably with bookkeeping/secretarial practices; or any combination of training and experience which provides the required knowledge, skills and abilities.

  • ENVIRONMENTAL WORKING CONDITIONS AND PHYSICAL DEMANDS

OF THE POSITION

Works in office setting. Must have the ability to operate keyboards, ability to listen to and respond to questions. Good physical condition, able to climb steps, lift at least 50 pounds.
