The San Mateo County's Human Services Agency is seeking qualified candidates for the position of Department Facilities Projects Coordinator II. Under supervision, the Department Facilities Projects Coordinator I/II will coordinate activities and project manage facilities-related project including needs assessments, cost analyses, budgets, schedules, preparation and review of construction documents; coordinate work with consultants, other County staff and contractors; take lead in implementing safety conditions within the assigned departments and its facilities; and perform other duties as required.

The ideal candidate will have:

  • Has at least 2 years of experience coordinating facilities projects.
  • Has developed technical knowledge and experience with capital and facilities projects, space planning, safety, ergonomics, fleet management, and contract management.
  • Has a experience developing cost estimates, monitoring expenses, and reporting.
  • Demonstrated ability to conduct thorough analysis that weighs pertinent laws and regulations, potential risks and impact of possible solutions resulting in sound decision making.
  • Effective time management demonstrated by efficient preparation, scheduling, prioritization, and an understanding of appropriate delegation of duties.
  • Demonstrated ability to work collaboratively with stakeholders to achieve organizational goals.
  • Analytic skills required to evaluate data and develop improved processes and performance.
  • Skilled in project management requiring coordination and collaboration across departmental lines and with various vendors and stakeholders.

Examples Of Duties

Duties may include, but are not limited to, the following:


  • Coordinate activities related to a capital and facilities projects for the department to which assigned.
  • Assist in developing and implementing goals, objectives, policies and procedures related to facilities, ergonomics and safety of assigned department.
  • Initiate the preparation of and present feasibility studies, complex cost estimates, schedules and programs for the development of new county facilities and the alteration of existing facilities.
  • Develop space plans, including drafting layouts, and coordinating reconfigurations.
  • Monitor vendor compliance.
  • Perform minor furniture repairs, light building maintenance, emergency building repairs, and furniture installations.
  • Solicit and analyze bids, assist in vendor selections, prepare contract documents.
  • Respond to safety and facilities related emergencies.
  • Perform related duties as assigned.

Qualifications

Knowledge of:

  • Project development and management.
  • Contract negotiation.
  • Building cost estimates.
  • Budget preparation and control.
  • Relevant codes, ordinances and laws concerning facilities of department to which assigned.
  • Architectural planning and design practices and standards.
  • State codes and County ordinances relating to the management of capital and construction projects for assigned department.
  • Related computer technology and management information systems.
  • Ergonomic evaluations.

Skill/Ability to:
  • Analyze facility, security and construction needs of assigned department and make recommendations as needed.
  • Prepare contract agreements for projects.
  • Manage facilities-related projects for assigned department from inception to completion.
  • Communicate effectively orally and in writing.
  • Establish and maintain cooperative working relationships with those contacted in the course of the work.
  • Anticipate problems and resolve disputes.
  • Collect, analyze and interpret data.
  • Review and approve designs and contract documents for compliance.
  • Prepare, maintain and monitor accurate project budgets, schedules and records.
  • Prepare and present a variety of reports as needed.
  • Use a personal computer for basic spreadsheet, word processing and project management programs.
  • Perform physical tasks such as climbing ladders and walking on uneven surfaces to observe and approve work.
  • Operate a vehicle.

Education and Experience:

Any combination of education and experience that would likely provided the required knowledge, skills and abilities is qualifying. A typical way to qualify is:

Education: Graduation from an accredited college or university with a major in Architecture, Engineering, Construction Management or a closely related field.

Experience: Three years as a project manager of facilities-related and/or capital projects.
