The Opportunity:
The Program Coordinator II will support the Chief Financial Officer (CFO) and other leaders on the Finance, Contracts, and Accounting Teams. This position represents an excellent opportunity for an individual—who is eager to learn and work hard—to broaden their perspective on education and nonprofit organizations in a highly visible management environment. The ideal candidate will be a well-organized, detail-oriented, analytical individual with excellent communication and interpersonal skills. We are seeking an enthusiastic team-oriented professional with a positive attitude combined with the skills necessary to work across multiple projects and senior leaders simultaneously. The ideal candidate will be in a hybrid role with 2-3 days per week in the San Francisco office.
Core Focus Areas:
- Communicate effectively with all levels of the organization including members of WestEd’s Executive Team, Leadership Council, Program Development Council, and division staff across the nation.
- Contribute to the development of materials and systems that increase efficiency within and across departments; in collaboration with cross- agency peers, contribute to efficiencies and consistency related to common practices across the agency.
- Assist leaders across departments with the creation of charts, graphs, tables, presentations and PowerPoint slides to communicate key messages across department and division.
- Provide executive administrative support, which includes correspondence, maintaining calendars, support travel arrangements, preparing agendas, notetaking, contributing to and formatting final documents and reports, and managing meeting logistics and follow-up.
- Maintain and update the Departments’ internal web presence, using a continuous improvement lens to source, update, and refine content and resources; and apply experience and judgment to structure the web presence in ways that improve the ability of staff to efficiently navigate the site.
- Schedule and manage logistics for both in-person and virtual meetings across internal teams and/or external funders and clients.
- Represent the CFO to external and internal clients; respond appropriately to incoming calls and selected email and voicemail.
- Help the CFO and Director of Finance prepare for Board meetings; compile, edit and draft reports for the Board.
- Manage special projects as needed.

- Ability to interact and work with internal and external stakeholders, including Board members, senior management, and program staff.
- Strong organizational and analytical skills.
- High level of self-motivation and ability to work independently, when necessary.
- Ability to effectively manage and balance multiple tasks and priorities.
- Occasional travel to WestEd offices, Washington D.C., Seal Beach, California.
- Excellent computer skills, advanced proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Ability to quickly learn and effectively use and troubleshoot specialized software (Zoom, Concur, Box, Smartsheet, Salesforce).

Experience and Education:
- Bachelor’s degree from a four-year college or university.
- Minimum of 5 years of relevant experience successfully supporting an executive and in working in a team environment; expertise or prior experience in the field of education is highly valued.
- Knowledge of and familiarity with nonprofit organizations is a plus.

SALARY AND BENEFITS:
The full salary range for this position, WestEd level F, is $74,080 to $111,100 but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $74,080 to $92,600. The actual offer takes into account multiple factors including but not limited to education; experience; internal equity, and other organizational needs.
In addition to the base salary, benefits include:
- 15% contribution toward retirement effective day 1 of employment

- All health/welfare benefits are effective first of the month following hire date
- PTO: 3 weeks vacation (increases to 4 weeks beginning the 4th year of employment), paid holidays, and 12 days paid sick leave per year
