Position Summary:
We have an exciting opportunity to join our team as a Senior Development Coordinator - Office of the Executive VP.
The Senior Coordinator, OEVP is an integral member of the Office of Development & Alumni Affairs (OODAA). This role will help ensure that the Executive Vice President (EVP) of Development is maximizing time on department and institutional priorities by providing critical and complex daily administrative support. A heavy focus is placed on scheduling, managing special requests and projects related to EVP, as well as ensuring the EVPs donor information and activities are properly reflected in the departments CRM database (known as TRAX). In partnership with the Senior Director, the Senior Coordinator serves as a primary point of contact for internal and external constituencies and works closely with the development leadership team on matters relating to the EVP. Utmost care must be given to maintaining confidentiality and handling sensitive information. This role works in close partnership with the Senior Director, Office of the Executive Vice President (OEVP), Assistant Manager, and Trustee Administration. It is a key role in the OODAA as we look towards the next phase of NYU Langone's philanthropic success.
Job Responsibilities:
Executive Support
- Completes a broad variety of day to day administrative tasks for the EVP including but not limited to: manages an extremely active calendar of appointments, answers and directs phone calls and email inquiries, meets and greets meeting participants, arranges complex in-person and virtual meetings under minimal direction (including travel and meal arrangements as needed), completes expense reports, files and retrieves documents and records.
- Synthesizes high-level updates and questions from parties across Development into a Daily Brief shared with EVP at the close of the business day that is concise, has appropriate background and contains straightforward decision points; facilitates dissemination of EVP responses to appropriate parties in a timely manner.
- Composes and prepares correspondence to Trustees and VIPs, including working with development communications team to ensure acknowledgments are prepared and sent out in a timely fashion.
- Ensures EVP is fully prepared for meetings, including supporting Senior Director in managing the agendas and follow-up for meetings with Dean and CEO; reaches out to teams across OODAA and the institution as directed to provide pertinent information and anticipate EVP’s needs. Maintains aggregate list of items to cover with Dean and CEO, Chair of Board, Executive Leadership, and other key stakeholders as required.
- Builds relationships with key stakeholders and serves as a primary point of contact for items related to the EVP. Works in tandem and in support of Senior Director to research, prioritize, connect dots with other staff members, and follow up on incoming issues and concerns addressed to the EVP, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response in a timely manner.
- In conjunction with the Senior Director, liaises regularly with Development Leadership Team including AVP and Senior Division Director of Development Administration to ensure coordinated efforts.
- Liaises and coordinates regularly with office of Dean and CEO as primary point of contact, as well as other Executive Leadership and their administrators for meetings and other activities.
- Plans, coordinates and works with internal staff members to help ensure the EVP’s schedule is followed. Works with Senior Director and Development Leadership to suggest and leverage standing meetings and works to connect dots to help ensure items are covered in a comprehensive (as opposed to ad-hoc) manner.
- Recognizes and identifies information that can be disseminated and to whom. Provides information, consultation and advice to the EVP and colleagues on technical, systems-related, or process related topics.
- Develops full knowledge of teams across the office in order to provide EVP with appropriate communications, reports, prospect research, etc. upon EVP’s request.
- Evaluates current practices and assesses needs of EVP in order to suggest administrative efficiencies to support the EVP’s preferred ways of working. Updates and maintains a manual that includes best practices and standard operating procedures as it relates to the EVP.
- Discreetly handles sensitive and confidential material, information and projects.
- Participates in special projects and performs other duties as assigned.
Development Support
- Develops full knowledge of TRAX and in conjunction with Assistant Manager, Trustee Administration, keeps all EVP prospect data (including contact reports) updated and in compliance with evolving business rules and guidelines. Works with Manager of Fundraising Administration to ensure protocols are in place to track EVP’s partnership gifts in TRAX.
- Liaises with the gift teams to efficiently and effectively conduct all follow-up from Principal Giving/Moves Management meetings and ensure activities related to EVP are captured and tracked.
- Assists with processing EVP-related gifts.
Minimum Qualifications:
To qualify you must have a Bachelor's degree required
4-5+ years related experience required. Strong writing and editing skills. Excellent organizational skills, combined with a commitment to accuracy and attention to detail. Ability to work independently and as a team member. Ability to change priorities in a high volume and fast-paced environment. Ability to interact effectively with all levels of diverse public. Ability to handle multiple concurrent assignments and meet deadlines. Strong interpersonal and verbal communication skills. High level of energy, initiative and creativity. Self-motivated, outgoing and results oriented. Knowledge of the internet and software applications, including MS Word, PowerPoint and Excel. Development database experience required.
Preferred Qualifications:
Requirements:
Bachelor's Degree required; Development or health care experience preferred.
Minimum of 4-5+ years of administrative executive experience in an office setting.
Experience working directly with high-level executives, donors, clients, etc.
Excellent customer service, organizational, interpersonal and communication skills, both written and oral; ability to interact effectively with all constituents in diverse public, including C-suite executives.
Commitment to accuracy with keen attention to detail.
Ability to work independently and as a team member.
Ability to shift priorities in a high volume and fast-paced environment; flexibility to appreciate nuance in strategy that dictates those shifts, whether overt or implied.
Ability to handle multiple concurrent assignments and meet deadlines with the utmost professionalism, even while under pressure.
Demonstrates superb judgement and ability to act with ultimate discretion while handling confidential matters; seeks guidance when sensitivity is unclear.
Self-motivated, highly observant, and results oriented.
Demonstrates excellent computer skills, especially Microsoft Word, Excel, Outlook, Zoom, WebEx, database applications, software management, and internet; strong ability and desire to learn new technology.
Development database experience preferred; prior knowledge and/or willingness to learn current HIPPA guidelines.

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 - $76,805.04 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
