The Scheduling Coordinator collaboratively plans and schedules staffing for ICF and utilizes supplemental staffing, as needed and approved, in a coordinated effort to provide staffing for all buildings. The Scheduling Coordinator is responsible for preparing schedules and maintaining appropriate staffing levels in the ICF buildings according to the Oklahoma Department of Health regulations.

Qualifications:

Must have a minimum of one year of experience in a long-term care nursing facility or a related medical facility and one year of coordinating personnel schedules.

Must be able to communicate effectively in writing and verbally, have strong interpersonal skills, computer experience including Microsoft Office, and have exceptional organization skills. Must work well under pressure and on a deadline.

Must have a valid Oklahoma driver's license.

Responsibilities:

1. Communicates with the entire ICF management team to evaluate staffing needs

2. Creates bi-weekly and monthly schedules and emails them to the ICF management team

3. Responds to requests for staff coverage and coordinates appropriate distribution of staff, including reaching out to staff to cover shifts.

4. Generates schedule changes in response to business needs, PTO requests, employees off duty for other reasons, staffing changes, etc.

5. Communicates with ICF management team when enable to fill all vacancies days prior to the unfilled shift(s).

6. Collects and enter data daily for monthly agency Utilization Report.

7. Collects absenteeism and tardiness data for ICF management team and HR.

8. Assists with the coordination of training of new employees.

9. Maintains dependable and reliable attendance.

10. Maintains a professional and courteous disposition to residents and personnel.

11. Supports a dignified and caring atmosphere with residents, residents’ families, visitors and staff.

12. Protects privacy and confidentiality of information pertaining to the residents, residents’ families, employees, facility information and records.

13. Maintains a safe and secure working environment and practices safe working habits.

14. Maintains neat appearance, good personal hygiene and appropriate attire to inspire confidence with residents, their families, and staff members.

15. Participates in training, in-services, and meetings as required.

16. Performs other duties and responsibilities as directed by the Administrator and the Director of Nursing.

17. Performs duties and responsibilities in a manner consistent with the Center of Family Love’s values of teamwork, respect, integrity, compassion and kindness.
