The Release of Information (ROI) Coordinator participates as an important member of the Health Information Management Team. The ROI Coordinator is responsible for processing all external and internal requests for information that are received by Fairfax Hospital. In addition, the ROI Coordinator offers support to other department members by performing other medical record functions as needed to ensure the quality maintenance of patient information/medical records within all laws, rules and regulations of federal and state licensing agencies, and Joint Commission standards.


Wage Range:

Minimum: $25.00/hour

Maximum: $37.63/hour



Qualifications


Education:
  • Two year AA degree in health information related studies, or equivalent work experience. RHIT, RHIA certification preferred.
Experience:
  • At least one year experience in a medical office/behavioral healthcare setting preferred. Knowledge of medical terminology and HIPAA laws and regulations preferred.
Additional Requirements:
  • Keyboarding speed of at least 40 wpm preferred.
  • Solid experience and familiarity with computer systems, especially Microsoft Word, Excel and e-mail preferred.
  • Good organizational skills which enable one to work quickly and accurately with a large amount of incoming requests; ability to provide a positive customer service orientation toward patients, former patients, their families and caregivers.
  • Ability to interact positively and confidently with doctors, professional medical staff and other team members.
  • May be required to work occasional overtime and flexible hours; flexibility with additional projects/assignments.

PRIMARY RESPONSIBILITIES

  • Process all requests for information which are mailed, faxed, or phoned in to the hospital within the deadlines prescribed in the Revised Code of Washington (15 days), or within more stringent guidelines if specified in Fairfax’s policies and procedures; standard for productivity is processing approximately 20 external requests per day, in addition to other releases generated internally.
  • Examine all authorizations for completeness, authenticity, and validity under HIPAA regulations, etc., prior to releasing documentation.
  • Return incomplete authorizations to sender with further instructions on how to resubmit to us.
  • Examine documents prior to releasing to be sure all conditions protected by Federal law present in those documents are accounted for in the signed authorization.
  • On the day after discharge, send out all documents to the providers noted on the release form signed by the patient.
  • Maintain a daily log of authorizations received and sent out in Excel or Access format.
  • Pull charts that are needed to process authorizations on a daily basis.
  • Return charts whose documents have been released to centralized filing area to be refiled, or to appropriate doctor’s box for additional signing.
  • Coordinate with former patients, parents/family members who wish to pick up documents in person.
  • Oversee former patients reviewing of their charts.
  • Copy documents or entire charts for requesting parties.
  • When patients are requesting documents in their own charts or want to view their own charts, obtain permission from attending doctor, or another doctor if attending doctor is no longer available.
  • When requested documents have not yet been dictated or signed, request doctors to do so. Perform additional follow-up work with doctors to avoid delinquency of ROI turnaround.
  • Order charts as needed from off-site storage company.
  • Incorporate HIPAA requirements as specified in training provided by Fairfax Hospital.

In addition to the Release of Information functions mentioned above, additional medical record functions will be required at various times throughout the year. These may include:

  • Assemble patient charts daily, approximately 15 minutes or less per average chart.
  • Perform filing functions within the department.
  • Download transcripts from the transcription company.
  • Participate in file purge activities.
  • Complete special projects as needed in a timely manner.
  • Perform other medical record support activities as needed and directed.
  • Answer inquiries from internal and external contacts regarding information recorded in the patient’s medical records, within all departmental policies and guidelines.
  • Notify the manager regarding any potential problems with record updates, maintenance and/or breaches of confidentiality.
  • Adhere to facility, department, corporate, personnel and standard policies and procedures.
  • Attend all mandatory facility inservices and staff development activities as scheduled.
  • Adhere to facility standards concerning conduct, dress, attendance and punctuality.
  • Support facility-wide quality/performance improvement goals and objectives.
