FOR EVERYONE:
- Answering the phones
- Helping to communicate how things are going across Reunion
- Problem solving as people are arriving
- Being ready to help out with tasks even if they are not technically within your ‘department’
Housing Deputy:
- Point person on all things housing during Reunion
Specific Responsibilities:
- Know which dorms are being used for housing, and which classes are stating in which dorms for what period of time,
- Prepare floor plans of each of these dorms so those checking people in know where to direct them.
- Organize all of the key codes for each room so that those at each class HQ can give this information to alumni.
- Make sure you can explain to alumni and hosts how to get to their rooms, and help prepare hosts who many not be familiar with certain building on campus.
- Be ready for the unexpected, which means walk-ins and overflow.
- Not a ton of work in weeks leading up to reunion aside from staying in contact with APP Staff about housing updates
- VERY fast paced when reunion starts
- Need to be very organized and flexible
- People will cancel, make special requests, or need to be moved around for various reasons. Make sure you are keeping track of these changes on both the floor plans and excel sheets.
- Lot of double/triple checking
- Communicate well with Facilities
Transportation Deputy:
- Scheduling drivers for fleet of vehicles - golf carts, 7 or 15 passenger vans, or the Midd Rides Shuttle.
- Managing keys to vehicles and overseeing all student hosts drivers.
- During Reunion weekend, they will spend most of the time at HQ manning the keyboard and reaching out to students for additions transportations needs that arise throughout the week.
- This is when the deputy will have long and active work days troubleshooting with fellow deputies, helping out with registration, and remaining at headquarters for all drivers to return their keys.
- Make sure that anyone with extra transportation needs, such as older folks who can’t walk or alumni with disabilities are supported throughout the weekend.
- Must be organized and have the ability to problem solve on the fly
- Updating van and shuttle stop signs
- Good communicator
Registration Deputy:
- Act as the point person for the registration of arriving alumni
- Applies both to the checking in and delivery of goods to those who have pre-registered for Reunion, and the number of alumni who will be ‘walk-ins’ for the weekend.
- Managing Midd Alumni inboxes
- Answering phone calls
- Oversee walk-in registration
- Interacting with alumni in the Crest Room
- Lots of general office-type work
Inventory Deputy:
- Oversee all inventory needs for Reunion
- Ensure that each event / HQ is equipped with all the necessary things/stuff for a successful event
- Posters & Signage:
- A large part of the inventory deputy job is dealing with posters and signage (giving instructions, signaling a place, reminding of an event).
- Inventory Deputy and an APP Staff member will have signage needs finalized prior to the start of Reunion, but the Inventory Deputy will be responsible for signage on demand as necessary (“Watch Your Step” signs, restroom signs, etc…)
- Provide every HQ with directions on what signs they should have and where to hang them
Specific Projects:
- Class binders - information about events and services pertinent to each class to be given to attendees
- HQ Bins – includes programs, yearbooks, parking passes, access cards, lanyards, maps, envelopes, etc. (varies by class year)
- Class Banners – make sure all banners are in good condition, and there is one for each class. Make sure that the banners make it to Mead for events like Convocation.
- Post-Reunion Packing – a big part of the deputy position is to make sure all the resuable/unused items are packed and labeled well so they can be found for the next Reunion.
