We are seeking a Project Administrator. You will report into the Team Manager of Support Services in our company’s Execute Team. This position is hybrid and requires going to the office occasionally.
The Eichleay Project Administrator (Admin) role provides assistance to Project Teams on non-technical tasks utilizing knowledge of Eichleay Processes & Procedures to ensure consistency in project delivery approach. Project Administrators gain intimate knowledge of the project and team members and are better able to support a project including the processing of documentation.
Responsibilities:
- Support Project Management team with project set-up
- Support Project Management Team and other project team members with any administrative tasks during project execution
- Prepare monthly and/or weekly status reports or other reports in client required or standard format for review by PM
- Coordinate scheduling of internal meetings and client meetings as requested
- Create, maintain, and distribute meeting minutes via electronic document management system or email
- Responsible for ensuring new projects and new phases of existing projects are created in a consistent manner
- Support PM in professional services estimate development
- Work with clients’ and vendors’ document exchange/sharing systems
- Organize vendor lunch and learn sessions specific to project
- Keep track of clients’ latest specs, design guides, standards, etc.
- Ensure project documentation is stored in the proper folder structure
- Assist Project Management Team with vendor document reviews
- Provide Document Control Assistance (e.g. perform Document Control functions)
- Create drawing lists, checking the list against actual drawings, and organize design packages prior to issuance
- Coordinate drawing number/tag number requests with the client organization
- Perform basic QC checks of drawings
- Ensuring doc control procedures are followed
- Assemble packages for issuance
- Issue documents/packages through electronic management system.
- Log RFIs, Vendor submittals, other documents in electronic document management system
- Teach project team and external team to use electronic document management system
- Help drive project closeout activities as requested by PM
- Personnel on/offboarding (e.g. badging, training requirements, onsite support)
Compensation: $77,000 - $89,000 *anticipated annual salary based on qualifications and geographical location
Job Requirements:
- High School diploma and 5 years’ experience; or equivalent combination of education, training and experience.
- Proficient with Microsoft Excel, Outlook, PowerPoint, Power BI, Teams, SharePoint, Word, Adobe, BlueBeam Revu, Newforma, and other specific software applications.
- Hold a valid TWIC card or have the ability to obtain.
- Experience in EPC or Construction firms preferred.
- Previous experience in Document Control is an asset.
- Knowledge and experience of engineering/construction documentation nomenclature, standards, refinery taxonomies required.
- Able to meet Client’s drug and alcohol testing requirements.
- Participate in a random Drug and Alcohol Testing Program.
- Excellent communication skills.
- Strong organizational skills and ability to manage multiple tasks and requests.
- Handle information of a confidential nature.
- Work under pressure to agreed deadlines and cope with change.
- Self-motivated to prioritize and manage potentially conflicting situations while working in a team environment.
- Demonstrate a “can do” attitude as a key team member with flexibility, enthusiasm, reliability, and discretion.
Work Environmental & Physical Demands
- While performing duties of this job, would occasionally be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk, and hear, and use fingers and hands to feel objects, tools, or controls.
- Must occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision, distance vision, depth perceptions, and the ability to adjust focus.
- Overtime may be necessary as workloads dictate. This may include weekdays, weekends and/or holidays.
