Compensation: $65,000 - $70,000 Annually

Objectives of this Role:

  • Oversee the patient-centric experience and ensure a personal, friendly experience for anyone coming into our clinics, and maintain complete accessibility in both availability and warmth of character.

  • Ensure peak organizational operations and provide preventative measures by identifying issues and threats.
  • Implement established policies and procedures, measure outcomes against standards, and improve operational flow when identified.
  • Coordinate internal and external resources, and cultivate relationships with vendors.
  • Oversee office interactions, responding to requests and questions.
  • Improve clinic productivity and revenue cycles.
  • Administers office activities and services including the supervision of office staff to achieve maximum productivity and expense control.

Daily and Monthly Responsibilities include:

  • Maintain office efficiency including maintaining the appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.

  • Oversee the day-to-day activities of the clinics as the main point of contact, keeping the senior leadership team informed of performance with routine and requested reporting.
  • Provide direct administrative supports as needed, including scheduling patient appointments, and events, maintaining filing system, mailing and shipping packages, and updating contact database and employee list.
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested.
  • Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
  • Counseling any employees struggling in their roles.
  • Answering telephone calls and emails from customers and clients and directing them to relevant staff.
  • Creating an office budget and ensuring all employees follow it.
  • Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required.
  • Interviewing and training new office employees and organizing their employment paperwork with HR.
  • Reporting clinic progress to senior leadership and working with them to improve office operations and procedures.
  • Communicating with department leads/heads, relaying important information or policy changes from senior leadership, and implementing incentives to enhance employee productivity.
  • Performs other related duties as assigned by management.

Requirements:

  • Education: Bachelor's Degree in business administration, health care administration, public health or health information management or related field preferred, or equivalent combination of education and experience.

  • Experience: Minimum of two (2) years experience in a multi-faceted business office preferably in a health-care setting, with one (1) year supervisory/management experience preferred.
  • Additional Requirements: Experience with computers and healthcare/business software programs.
