The Opportunity
The Office Coordinator plays a crucial role in ensuring the smooth and efficient operation of an office environment. This position involves providing administrative support, handling various tasks, and assisting in the day-to-day operations of the New York Office. The Office Coordinator will act as a liaison between departments, travel advisors, and suppliers, while demonstrating strong organizational skills, attention to detail, and excellent communication abilities.
Job Duties and Responsibilities
· Perform general clerical tasks such as answering phone calls, managing emails, organizing and maintaining files and documents, scheduling appointments and meetings, and handling correspondence.
· Coordinate visits and manage office operations, including maintaining office supplies, equipment, and facilities.
· Assist in managing the office space, including maintaining office supplies, arranging equipment and repairs, and overseeing the overall cleanliness and tidiness of the office.
· Handle incoming and outgoing mail, packages, and deliveries.
· Coordinate day-to-day operations of the New York Office, which includes ensuring travel advisors have seamless operational and technological capabilities to conduct their businesses.
· Organize and assist with planning F1S events.
· Assist with the on-boarding of New York-based travel advisors.
· Act as office liaison with departments and New York travel advisors.
· Ensure compliance of company supplier policy between suppliers and New York travel advisors.
· Engage and support NYC travel advisors through consistent communication and targeted promotions.
Skills, Knowledge, and Experience Required
· High school diploma or equivalent; additional certification or training in office administration is a plus.
· Proven experience in an administrative or office support role.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
· Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
· Excellent verbal and written communication skills.
· Attention to detail and a high level of accuracy.
· Sound technical skills, analytical ability, good judgment, and strong operational focus
· Eagerness to learn basic Travel Technology software (i.e., SabreRed, Scripts, Pricing, TripCase)

Job Type: Full-time
Pay: Up to $50,000.00 per year
