Office Administrator
Part-time 25-30 hrs/week, non-exempt
Grand Junction, CO

Organization:
The Community Food Bank has been serving Mesa County since 1978 with the mission of providing community members with nutritious food access in their time of need. CFB operates a client choice pantry three days a week, offers a home delivery service, and runs 27 food rescue routes every week. Our organization continues to grow rapidly to meet evolving Grand Valley needs. We are looking for a dedicated team member to support our increased impact and assist the team in building new programs aimed at addressing the root causes of hunger.

The Opportunity:
This position is designed to help the CFB operations and administration run more efficiently. This opportunity is designed for someone with great people skills, fantastic organizational abilities, and attention to detail. The primary function of this position is to support the Executive Director while collaborating across our team to provide administrative support in multiple areas.

Responsibilities:

Office Support

● Answer, screen/route phone calls, take messages, and schedule appointments.
● Monitor and distribute incoming/outgoing mail, assist with donor mailings and appeals.
● Order and maintain office and program supplies in an organized and accessible manner.
● Attend meetings, create agendas, take notes/minutes, and follow-up on any assigned action items.
● Organize and maintain physical and digital records.
● Monitor shared email inboxes
● Maintain distribution and inventory of print materials.
● Greets visitors and escorts them to the appropriate areas or persons.
● Assists in the coordination of meetings, appointments and engagements.
● Ensure that office meeting spaces are clean, neat, presentable and stocked with refreshments and food as needed.
● Assist in event planning administration for external convenings, staff and/or board gatherings as directed.

Accounting

● Light bookkeeping duties including the weekly reconciliation and invoice management.
● Accounts receivable processing for donation. Process recurring donation transactions.
● Assists with journal entries to Quickbooks and Donor Management software.
● Complete accounts payable process including invoice review, data entry, payment and follow up.

Executive Director Support

● Create and print memos, correspondence, reports, and other documents when necessary.
● Perform other clerical duties as needed, such as data entry, filing, photocopying, etc.
● Provide administrative support to the Executive Director and Board of Directors.
● Prepare weekly/monthly/annual donation acknowledgements and receipts.
● Other duties as assigned.

Building Support

● Help with building maintenance needs. Coordinate repairs, quarterly maintenance, etc.
● Order office and janitorial supplies as needed and maintain supplies in an organized fashion.
● Assist in managing office technology, improvements and changes.
● Manage key access security systems and track key assignments.
● Respond promptly to any facility-related requests or concerns.

Competencies:

● Passion for the Community Food Bank mission.
● Minimum one year of experience in a related, administrative position.
● Highly organized, with a record of accomplishment of attentiveness to detail, deadlines, documentation and timeliness.
● Excellent customer service, people and verbal and written communication skills.
● Self-starter and solutions-oriented.
● Communication skills must be effective and courteous, requiring high integrity when dealing with restricted and/or highly confidential information.
● Detail oriented, observant, and accurate.
● Reliable, consistent, and able to follow tasks through to completion.
● Strong computer skills and aptitude to learn new software and systems. Familiar with

Microsoft Office applications, Google Suite, (Gmail, Calendar, docs, forms and sheets);
QuickBooks experience preferred.

● Able to create a welcoming atmosphere for team members, clients, and visitors alike.
● Spanish skills are a plus!
● High school degree required.

Physical & Job Requirements:
● Lifting of up to 25 lbs.
● Frequent standing and/or sitting for hours at a time.
● Desk and phone usage required.
● Tobacco, vape, and drug free work environment.

Pay Range & Benefits:
● $17 - $20/hr depending on experience, paid holidays and paid time off, health & wellness stipend. Potential for advancement and additional benefits as the organization continues to grow.
