Summary:
The purpose of this position is to process inbound and outbound company mail in a timely manner. The Mail Clerk will work alongside the Sales Team and Processing department with the Case Managers and Caseworkers to manage and process all inbound and outbound company mail in a timely manner, support communication through incoming and outgoing phone calls, and emails from existing and new clients. The Mail Clerk must demonstrate strong attention to detail and a natural ability to multi-task and problem solve.

Job Duties and Responsibilities:

  • Prepare documents for mailing- fix postage, ensure proper labeling, and ensure correct addressing
  • Open, upload, and distribute incoming mail as necessary
  • Ensuring incoming OIC (Offer in Compromise) packets are uploaded and communicated to case manager
  • Manage a high volume of incoming mail and properly distribute to the appropriate recipient
  • Assist Case workers with scanning, faxing, and filling of case materials
  • Handle extremely sensitive client information and ensure proper disposal when necessary
  • Maintain mail station organization and keep all mailing supplies stocked
  • Ensure client files are maintained in accordance with company operating procedures
  • Management all outgoing mail to ensure client cases stay complaint
  • Performs other related duties as assigned by management
  • Process Power of Attorney (POA) for clients in compliance
  • Process all incoming faxes received in a timely manner

Qualifications and Skills:

  • Highly motivated with a positive attitude and excellent people skills
  • Professional demeanor, attitude, ethics, and judgment
  • Basic computer skills
  • Time management – multi-tasker, able to prioritize workload and follow up with processing, sales, and clients in a timely manner
  • Working knowledge of (CRM) customer relationship management systems

Required:

  • Well organized, detail-oriented with ability to multi-task
  • Strong attention to detail
  • Able to work independently

Preferred:

  • 1 year related experience
  • Customer service experience
  • Adaptable to new, rapidly evolving environments

Education:
High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience.
