Legally Exempt (LE) Office Assistant

Responsibilities: The LE Office Assistant will assume all responsibilities in the oversight for the success of LE department. The Office Assistant will ensure compliance with standards set by the Office of Children and Family Services, Department of Social Services and the Child Care Council of Suffolk, in respect to the Legally Exempt Enrollment process. Additional undertakings included communication with the Executive Director and/or Deputy Director, Legally Exempt Coordinators, and the Department of Social Services to assist and acquire further knowledge of policy and procedures within Legally Exempt.

Further responsibilities include:

1. File maintenance and timely record keeping on Enrollment Form for Legally Exempt In-Home Child Care and Legally Exempt Family Child Care.

2. Log all incoming/outgoing correspondence.

3. Provide technical assistance to the Department of Social Services, provider and parent, via phone, fax or email.

4. Create folders and labels for Initial Enrollments.

5. Perform/document the Day Care Enforcement history using the system of record CCFS and/or CCFS2 (Child Care Facility System) on all perspective providers.

6. Perform/document Sex Offender Registry on perspective providers and qualifying volunteers, employees and/or household members 18 years of age or older.

7. Retrieve files according to daily milestones.

8. Retrieve and file Article X/TPR requirements.

9. Prepare, update and distribute all informational and required packets for Legally Exempt providers in English/Spanish, which include OCFS-4438, OCFS-4439, OCFS-6000, OCFS-6011, and OCFS-7026.

10. Supply order.

11. Answer agency phone lines and forward to appropriate staff/department and take messages whenever necessary.

12. Perform all other duties as assigned by the Executive Director, Deputy Director and Legally Exempt Coordinators.

Qualifications:

  • Minimum High School degree and other trainings that relate to administrative duties
  • Professional manner and good communication skills
  • Works well independently and as part of a team
  • Telephone communication, recording-keeping skills with a keen attention to detail  Proficient knowledge of Microsoft Office programs and Adobe
  • Bi-lingual (Spanish) is REQUIRED.

Salary range: $30,000 - $36,000 dependent upon experience

Job Type: Full-time

Pay: $34,000.00 - $36,000.00 per year
