Your responsibilities

Position Summary

The Leave of Absence Analyst is responsible for all aspects of the administration of US leave of absence policies. The Leave of Absence Analyst leverages their expertise of state, federal and local laws, as well as tkMNA policies, to create and manage processes which ensure a consistent and efficient experience for employees and managers. This role requires the ability to think independently and use discretion when evaluating the appropriate course of action for requests. Collaborates effectively with colleagues in HR Compliance, Benefits, Risk Management, Payroll and HR Business Support. The Leave of Absence Analyst has a systems and process mindset. In addition to being front-facing and empathic, the incumbent must be a problem-solver who understands federal and state regulations and how they overlap and/or intersect. This role will also support Canadian HR Partners to ensure all Canadian Leaves of Absence are accurately tracked and managed within HR systems.

Key Accountabilities

  • Demonstrates extensive knowledge of FMLA leave administration process from end to end (initial notice to return to work). Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, state, and local laws.
  • As the subject matter expert, provides accurate up-to-date information to employees and managers on leave of absence and disability policies and procedures.
  • Serves as the primary point of contact for employees and managers for the duration of the leave and the return-to-work process to facilitate smooth and effective claim handling.
  • Manages the relationship with the leave of absence third-party administrators (TPA). Regularly communicates with the TPAs to ensure leaves and disability programs are being administered timely and accurately.
  • Manages any escalations regarding customer service issues related to Leave of Absence or TPAs. Investigates edge cases and process exceptions to determine appropriate course of action.
  • Carefully manages the return-to-work process, including communication with employees, managers, HR Partners, as well as managing any impact on employee’s payroll.
  • Administers other (non-FMLA) time-off in accordance with company policy and applicable laws.
  • Partners with HR Compliance to maintain company policies related to leaves of absence and ensure compliance with federal, state, and local laws.
  • Develops and updates educational materials for managers, employees, and HR Partners, and delivers training as needed.
  • Proactively identifies and leads process improvement initiatives with the goal of simplifying administration and creating a better employee and manager experience related to leave administration. Partners with HR Systems to develop technology-based solutions whenever possible.
  • Preserves confidentiality of employee medical documentation in compliance with all applicable data privacy regulations.
  • Partners with Canadian HR Business Partners to ensure accurate tracking of Canadian Leave of Absence cases.
  • Partners with Risk Management Team to ensure accurate tracking of Workers’ Compensation cases in HR System and applicable FMLA process has been followed.
  • Manages benefit arrears process for all employees on unpaid leave of absence, including Workers’ Compensation.
  • Responsible for all reporting and analytics for US and Canadian leaves.

Your profile

Knowledge, Skills, and Abilities

  • Extensive knowledge of leave administration, including FMLA, ADA, STD/LTD, and other applicable legal protections afforded by state and local regulations.
  • Exceptional customer service skills – Ability to provide excellent customer service with compassion and discretion (verbal and written) at all levels of the organization.
  • Excellent analytical and problem-solving skills.
  • Excellent organizational skills and follow-through skills.
  • Strong attention to detail, process orientation, and quality of work.
  • Ability to maintain and handle confidential data in a manner consistent with data security regulations and applicable employment laws.
  • Proficient in Microsoft Office applications, particularly with MS Excel.

Education and Experience

  • Bachelor’s degree in Human Resources or related field
  • 3-5 years’ experience in HR and/or Leave of Absence Management
  • Prior experience in HRIS and/or timekeeping system (Workday and ADP e-Time preferred)
  • Completion of specialized certification or training in FMLA/Leave of Absence Management, a plus
  • Experience with Canadian Leave of Absence Management, a plus
  • PHR or SHRM-CP, a plus
