Under the direction of the Director of Administrative Operations and Projects, Deans office, the Lead Administrative Specialist serves as Office Manager for Presser Hall, provides strong leadership and excellent customer service, and varying degrees of administrative support while working with a diverse group of faculty, students, and staff of Boyer College of Music and Dance.

The Lead Administrative Specialist will spend considerable time answering phones and questions and resolving problems that involve daily administrative needs for faculty, student, and classroom operations within Boyer college. Oversees all student workers for the Presser Hall Deans office, hires and processes payroll for all Music department student workers, and updates Kronos.

Provides support for the reservations of all classrooms, practice room, studio space, Graduate Student/Teaching Assistant rooms, non-credit/credit room needs, and conference room scheduling. Administers key assignments to students, faculty and staff as needed, and maintains all bookings/assignments on a computer database and online calendar. Oversees facility needs in the Presser Hall classrooms and assigns instructors to teaching studios each semester. Assists the Director of Administrative Operations and Projects in the Deans office on a regular basis with various duties that include award and graduation ceremony, acknowledgment letters, Excel reports, event coordination, mailings, creation of certificates, and award checks. Serves as the eSFF (electronic student feedback forms) administrator, oversees the Boyer online course evaluation process each semester. Serves as liaison between the Vice Dean of Center for the Performing and Cinematic Arts and the Institutional Research and Assessment Office. Attends undergraduate, and graduate curriculum meetings, and keep minutes for the Boyer committee.

The Lead Administrative Specialist will also provide administrative support to the Music Education and Music Therapy department while working with the department chair on various tasks that include Adjunct Instructor support, ordering supplies/equipment, travel support, faculty and student support, and budget review and oversight as needed. Serves as a liaison for Music Education and Therapy externships, contracts; Supports the Music Education Coordinator of Student Teaching with student placements, precertification paperwork; communications, etc.

This position works with Boyer recruiting and admissions staff on all music auditions, ensuring all facilities needs are met, supplies and catering needed for these auditions are ordered and provided to all prospective students, and parking lots are reserved for auditioners and faculty. This position also serves as the first point of contact for guests as they arrive for campus visits, providing a warm and helpful welcome to all guests.

Required Education and Experience:
Bachelor’s degree and at least two (2) years of related administrative experience. An equivalent combination of education and experience may be considered.

Required Skills and Abilities:
  • Proficiency in Microsoft Excel, Word, and database management.
  • Must be self-motivated and able to work independently.
  • Excellent organizational skills.
  • Ability to multi-task and prioritize various duties on a daily basis in a high-traffic office environment.
  • Excellent written and oral communication skills.
  • Outstanding customer service, and interpersonal skills.
  • Ability to troubleshoot various office, student, faculty, or staff issues, to recommend and initiate solutions.
  • Ability to create written and data reports as needed.
  • Ability to create and maintain room scheduling databases and calendars on a computer.
  • Ability to use all office equipment: computer, phone, copier, fax, scanner, printer, and various computer software.

Preferred:
Music or Arts background or experience.
