JOB SUMMARY

Primarily responsible for the administration of University Hiring Process of all employee types in coordination with Hiring Managers. Conducts HR processes within the guidelines of established HR policies and programs with an emphasis is to ensure managers have resources and support necessary to effectively hire employees through a supportive, service oriented process which is aligned with university mission and strategy. Position works closely within the department to implement HR service programs and operational activities. Position will work closely with other HR department team members as well as external departments and university managers. Implements policies, procedures and processes requiring training and or knowledge of the human resources field.


ESSENTIAL FUNCTIONS OF THE JOB

  • Conducts human resources responsibilities assuring HR policy and practices are conducted consistent with university policy and meet regulatory requirements; attention is focused on maximizing the effectiveness of processes and systems; employees are served and supported with efficiency and care; and information is communicated and implemented in a way that is positive to the employee experience and parallels the strategies and plans of the department and the University.
  • Fully understands and is able to execute the defined University Hiring Process as primary HR employee process implementer.
  • Under the leadership of other department staff members, conducts daily operations/administration of the Talent Acquisition portion of the Paycom system (recruitment, selection and onboarding processes, exits). Responsible for assuring the employee onboarding and exit processes are managed in a systematic, informative, and service oriented manner. Assist managers through these processes as needed. Assures all applicable departments and contacts are informed and included within this process.
  • In collaboration with AVP and Systems Administrator, provides support to Hiring Managers as they navigate these processes (define/update position descriptions, requisition the posting of open positions, access system for analysis of candidates, select the individual who best fits the open role, and support them through onboarding process of new hire).
  • Conducts E2 Verify and Background Screenings processed necessary to assure each new hires is eligible to work as an appropriate potential new employee from a compliance perspective.
  • In collaboration with Systems Administrator, assures proper documentation is relayed to each new hire (contract, hire letter, system access, etc…)
  • Provides support and training to each Hiring Manager as they navigate the hiring process. Best practice will include Zoom Screen Share for learning and development purposes.
  • Handles employment-related inquiries from applicants in order to help them effectively navigate processes.
  • Performs support to the execution of human resource programs providing opportunity for growth and development in a variety of areas of HR and the University.
  • Assures understand and compliance with federal, state, and local employment laws and regulations, and recommended best practices as needed.
  • Works collaboratively with the HR Service/Benefits Administrator to become fully trained and engaged in the full spectrum life cycle of an employee and their employment needs, questions, and ultimate changes as well as trained to externally advertise open positions within University standards and expectations.
  • Responsible for the accurate and timely reconciliation of assigned employee benefit billings in collaboration with the Payroll/Accounting office.
  • Works collaboratively with HR Systems Administrator to assure accurate job definition, position classification, job descriptions, system updates and maintenance in accordance with quality management principles and overall objectives of the organization.
  • Effectively utilizes the Paycom system to obtain, store, analyze, and report data and information by preparing ongoing and ad-hoc reports pertaining to applicable employee personnel information and data. Reports may include staffing levels/deployment, turnover, absenteeism, recruitment, applicant tracking, affirmative action/EEO, etc.
  • External Advertising of jobs as needed.

REQUIRED EDUCATION: (education based on essential job duties and requirements consistent with business necessity): Bachelor's degree in human resources or related field, or substantial equivalent experience required; Master’s degree preferred.


REQUIRED EXPERIENCE: (experience based on requirements in role and are consistent with business necessity) Two or more years experience in human resources administration.
