UCSF has an open role for a Gift Administration Analyst. This position plays a critical role in the acceptance and processing annually of more than 50,000 donations to UCSF representing more than $600 million in private support revenue.

Responsibilities of the position include:
  • Review and processing of gifts, ensuring that required documentation is complete and that gifts are accurately recorded and allocated
- Responding to information requests from donors, fundraisers, faculty, and staff - Updates complex database records of donors and alumni to the highest standards of quality
  • Assist other members of the gift administration team with gift and biographic data analysis and processing
  • Take on a supportive role in an area of specialization (stock and wire transfers, matching gifts, online giving, workplace giving, biographic data management) and provide backup services for additional areas of specialization

The ideal candidate will be detail oriented and analytical, able to determine appropriate handling of gifts with sometimes limited information; ability to flexibly prioritize work and manage multiple assignments simultaneously while adhering to deadlines; work independently on problem-solving and analytical projects and assignments, ability to understand and follow directions and complex policies and procedures. Ability to handle confidential personal and financial data, have knowledge of or ability to learn UC gift policies and IRS regulations regarding charitable gifts.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Benioff Children’s Hospital (Oakland) Foundation, UCSF Foundation and the Office of University Development and Alumni Relations (UDAR) are responsible for fostering and strengthening the campus outreach efforts to BCH-Oakland and UCSF constituents and for garnering private support for BCH, UCSF Health, and the campus. In raising private support, UDAR identifies, qualifies, solicits, and stewards donors for the schools, medical centers, departments, and programs on campus. It is also responsible for formal acceptance and administration of all private gifts to the university through The Regents, the UCSF Foundation, and the BCH-Oakland Foundation; and for managing all alumni relations activities, campus support group activities and campus events. The UDAR office staffs the UCSF Foundation and, through a management services agreement, provides development and management services to the BCH-Oakland Foundation. The office is responsible for the management of Foundation gift and endowment assets, providing operations support for the endowment investment program carried out by the UCSF Foundation Investment Company.

Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training
  • Three to five years of work experience in a related position
  • Proficiency in Microsoft Office suite
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff and faculty
  • Solid organizational skills and ability to multi-task with demanding timeframes
  • Ability to use discretion and maintain confidentiality
  • Ability to use sound judgement in responding to questions and concerns
  • Ability to implement and monitor internal control principles and systems

Preferred Qualifications

  • Knowledge of UC, IRS, and CASE guidelines for the acceptance and management of philanthropic donations
  • Experience with UCSF financial systems (incl. MyReports, MyExpense & PeopleSoft))
