Job description
Under general direction, the Receptionist/Switchboard is responsible to maintain the multi-line switchboards, attend to visitors, perform general office tasks and perform certain administrative tasks for customer service.
Essential Functions:
- Answer the telephone in a friendly and professional manner, direct calls to appropriate individuals and take messages when necessary.
- Greet company visitors and direct inquiries to the appropriate individual.
- Manage the customer welcome sign display and sign-in book.
- Ensure safety protocol is followed and that lobby doors remain locked at all times.
- Supply and receive job applications from candidates, instruct candidates on how to complete the form, and ensure the form is completed correctly and thoroughly before forwarding to HR.
- Accept and log UPS and FED EX envelopes and packages; notify the appropriate individual in a timely manner.
- Sort and distribute company mail daily.
- Announce telephone pages and any required company instructions or announcements over the intercom system.
- Perform general office duties such as faxing, photocopying and filing as needed.
- Assist customer service with order entry functions including entry of all order types, proofing customer orders, entering credits, entering returns, answering customer inquiries via email and phone.
- Organize customer shipping documents for filing.
- Assist finance in mailing, emailing and sorting invoices.
- Assist with adhoc projects.
- Maintain an orderly reception desk and lobby area.

- Basic level Microsoft skills including Word, Excel, Outlook and, PowerPoint
- Excellent communication skills - both written and oral
- Possesses good judgment, tact, and problem-solving skills
- High level of dependability and professionalism
- ZOHO CRM or JD Edwards experience a plus
- Completion of a satisfactory comprehensive background check
