The purpose of this position is to support the financial aid data submissions to and from the Common Origination and Disbursement system, CSAC, Direct Lending, and others. This position will support all website updates, compile documentation for processes, and reports.

Major Duties and Responsibilities:

Data Transmission
  • Perform daily import and export processes for the Office of Financial Aid and Scholarships which include various reports and records from Common and Origination and Disbursement system included, but not limited to ISIR files, Direct Loan files, Pell Grant files, and Cal Grant files.
  • Conduct the transmission of records including but not limited to: the Pell origination and disbursements process, loan origination and changes, loan promissory notes and entrance counseling and federal financial aid disbursements to the Common Origination and Disbursement Center (COD), CSAC records and files, Cal Grant accept/reject files, Dream Loan data processing with ECSI, reconciliation files for programs, and payment rosters.

Documentation and Reports
  • Assist in preparation of documentation, write training modules, and perform routine tasks to assist the Financial Aid delivery Systems Team and Financial Aid staff. During peak periods, serve as back up for overload processing.
  • Produce and provide required financial aid data for financial aid audits and reports.
  • Develop, design, write, run, analyze and evaluate ad hoc queries and reports using PeopleSoft Query Manager and SQL.
  • Run various office reports including, but not limited to award corrections, over-awards, census file updates, and conditional admit processes.
  • Stay abreast of best practices in the field and update business processes guides as appropriate.
  • Provide lead work direction to staff as needed and as appropriate.

Financial Aid Technology and Processes
  • Support testing and implementation of any maintenance upgrades for the core student information systems.
  • Maintain an in-depth knowledge of financial aid federal, state, and institutional regulations and policies and how they are addressed by information systems.
  • Keep current with PeopleSoft system standards, change, trends, and functions and will assess the impact on financial aid functions and operations.
  • Assist with coordination of technology-based systems for the various functions of the Financial Aid & Scholarships Office.
  • Meet regularly with the IT Systems in-house staff to ensure consistent processing and documentation is current and any issues with system functionality is addressed.

Financial Aid Website
  • Update the Net Price Calculator as needed.
  • Coordinate, update and maintain the Financial Aid website information as needed.

Other Duties as Assigned.

Minimum Qualifications: Required Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.

Required Qualifications
  • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.

Preferred Qualifications
  • Understanding of the federal, state, and institutional programs administered in a financial aid office.
  • Understanding and working knowledge of Common Origination and Disbursement system for transporting files.
  • Understanding of the transmittal portion of webgrants.
  • Understanding of EdConnect.
  • Understanding of ECSI.
  • Familiarity with the Net Price Calculator.
  • Understanding of how to write Business Process Guides for training.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Compensation and Benefits:

Anticipated Hiring Rate : $4,170 per month

Classification Salary Range: $ 4,170 - $7,545 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Work status: Full-time/Exempt/Probationary

Schedule: Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
