Role Summary:
Financial & Facility Coordinator’s primary role is to support the facility senior director, operations manager and design manager. In addition, this individual will need to oversee the business aspects of the facility including responding to internal and external requests/reports. Work with director in developing AoA, Audi Design Loft budget proposal; secure approval from Audi AG; monitor budget/forecast. The individual will need interface with various department liaisons within VW/Audi, plus outside support contractors.
Role Responsibilities:
Operational Work
- Prepare and track Shopping Carts in K-SRM – SAP - covering the purchase of materials, supplies and service contracts for studio
- Support & assist team members’ requests as appropriate
- Manage internal & external communications on behalf of the director and staff
- Work with internal VW support groups: Financial, HR, Safety, Security and other groups as needed
- Point of contact with outside suppliers and Audi Design Loft visitors
- Organize internal and external meetings (meeting reminders, food, staff report and necessary materials)
- Assist director by maintaining his calendar, arrange Skype and Microsoft Teams meetings as needed
- Prepare reports, letters and other correspondence as necessary
- Ensure visitors review and sign Non-Disclosure Agreements (NDAs), comply with COVID 19 Protocols, and apply camera cover security stickers to mobile phones
- Ensure that no camera devices are brought into the studio
- Act as liaison with facility management (Jones Lang LaSalle – “JLL” and building owner - PacShore)
- Responsible for being on site contact with outside vendors in partnership with JLL
- Oversee office storage, file maintenance and retention of files as directed by VW Group
- Lead office clean-up and organization
- Maintain Rosters – Employee & Emergency Contacts
- Organize office celebrations – Birthdays & Holidays
- Ordering fleet vehicles, coordinate use, and necessary reporting
Qualifications:
Years of Experience:
- 5+ years of relevant experience
Education - Required:
- Bachelor’s degree in Business or High School diploma with equivalent experience
Education - Desired:
- Background in Audit/Internal Controls
- Project Management
Skills:
- Proficient with Microsoft Office, including Word, Excel, PowerPoint, Photoshop
- Excellent time management skills
- Excellent web and new technology skills
- Experience in Compliance Monitoring – Environmental, Health & Safety Compliance
- Strong writing proofreading and verbal communication skills
Specialized Skills - Required:
- Skills to oversee various outside suppliers providing support to the operation
- Ability to analyze and respond in areas of compliance, particularly health, safety, environmental and security
Work Flexibility:
- On-site during core hours 9:00 a.m. – 5:00 p.m., plus lunch break. Minimal travel required.
Compensation:
Salary range is dependent on factors such as geographical differentials, industry-based experience, skills, training, credentials, and other qualifications.
In the state of California, the salary range is $69,300 - $95,400.
