We are looking for an executive assistant who plays a crucial role in providing high-level administrative support to our President and CEO. The specific responsibilities and duties may vary depending on the company and the executive's needs at different times, but the following are typical components of the executive assistant job description:

Calendar and schedule management: Managing and maintaining the executive's calendar, scheduling appointments, meetings, and travel arrangements. This involves coordinating with internal and external parties to ensure effective time management.

Communication and correspondence: Acting as a primary point of contact and gatekeeper for the executive, screening and prioritizing phone calls, emails, and other communications. Drafting and preparing correspondence, reports, presentations, and other documents as required.

Meeting support: Planning, organizing, and coordinating meetings, conferences, and events. This includes preparing agendas, materials, and presentations, arranging logistics, and taking meeting minutes when necessary.

Travel coordination: Making travel arrangements, including booking flights, hotels, transportation, and managing itineraries. Ensuring travel-related documents, such as visas and passports, are up to date.

Information management: Collecting, organizing, and maintaining information and files, both in physical and electronic formats. This includes confidential and sensitive information, so discretion is crucial.

Relationship management: Building and maintaining positive working relationships with internal and external stakeholders, including clients, vendors, partners, and other employees within the organization.

Research and analysis: Conducting research, gathering data, and preparing reports or summaries on various topics as assigned by the executive. This may involve market research, industry trends, competitor analysis, or any other relevant information.

Project coordination: Assisting with special projects or initiatives, including coordinating tasks, tracking progress, and ensuring deadlines are met. Collaborating with team members across different departments as required.

Prioritization and time management: Assisting the executive in prioritizing tasks and managing workload effectively. Anticipating and addressing time-sensitive issues to ensure the smooth operation of the executive's responsibilities.

Confidentiality and discretion: Handling sensitive and confidential information with the utmost professionalism and maintaining a high level of discretion at all times.

In addition to these core responsibilities, our executive assistant may be involved in various administrative tasks, such as expense tracking, budgeting, office management, and other duties as required to support the executive and the overall organization. Strong organizational, communication, and problem-solving skills, as well as the ability to multitask and work under pressure, are essential for success in this role.

This position does not require going to an office but candidate must reside in Richmond, VA.

Job Types: Full-time, Part-time

Pay: $60,000.00 - $65,000.00 per year
