Job description
- Consults with internal and external customers in order to determine objectives and requirements for events/meetings. Manage the technical process required to coordinate all event/meeting information and the dissemination of information to appropriate internal personnel.
- Coordinates and manages all aspects of events for Francis Tuttle, including facilitation of internal and external partners involved in the event, including invitations, decorations, program development, traffic issues, signage, guest lists, protocol, food, and internal communication relating to the event.
- Responsible for hiring and supervision of part-time staff that serve as a resource for district-wide events and meetings.
- Supervises the facilitation of all required contracts and the timely invoicing of customers.
- Develops weekly staffing schedules in relation to scheduled events and meetings.
- Monitors event/meeting activities in order to ensure quality as well as compliance with Francis Tuttle’s policies and procedures.
- Serves as the district’s point of contact for sponsorships including, but not limited to, area chamber of commerce’s, partner districts, and community initiatives.
- Coordinates Francis Tuttle employee awards and recognition acknowledgments and activities.
- Responsible for researching and ordering promotional products for use in approved activities.
- Responsible for establishing and maintaining relationships with vendors, venues, and internal groups.
- Responsible for maintaining a working knowledge of the complex needs of various events.
- Oversees designated budgets.
- Ability to be present on the job as described under work conditions and contract details.
- Other duties as assigned.
- Bachelor’s degree in marketing or related field required.
- Five years of successful, related professional experience in special event coordination and execution of large and small events.
- Strong project management, customer service, and relationship-building skills.
- Must be detail-orientated and organized.
- Anticipate needs, be resourceful and have ability to build strong internal and external partnerships.
- Ability to handle multiple projects and tasks simultaneously. Time management skills are required
- Ability to effectively problem solve, think creatively, make decisions and take action, exercising independent judgment.
- Ability to maintain a professional and positive attitude and work independently with little guidance in a fast-paced, changing environment.
- Strong written and verbal communication, able to deliver clear, concise, timely information tailored to specific and varied audiences.
- Ability to understand and meet critical deadlines.
- Experience in organizing and planning major events utilizing different processes and procedural tools to aid in success of event.

Primary Function of Position:
Provide leadership, direction, coordination, and execution of events for the district’s internal and external audiences to ensure event success and positive outcomes.

Working Conditions:

Organizational Relationship:
Full-time, non-exempt personnel position reports directly to the Director of Marketing and Communications.
Contract Details:
Twelve-month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. – 4:30 p.m. Evening and weekend hours may be required.
