About the Agency:

Your Team:
The Office of Enforcement and Neighborhood Services (OENS) leads the agency’s effort to works closely with other HPD divisions and outside community partners to identify buildings in distress assess and develop appropriate strategies to address those properties, and work closely with responsible owners to develop a plan to improve conditions and return buildings to firm financial footing and physical health. OENS uses enforcement tools within its Division of Code Enforcement, Housing Litigation Division, Emergency Repair Program, the Division of Neighborhood Preservation and the Division of Special Enforcement to ensure compliance with legal and regulatory obligations.
The Office of Enforcement of Neighborhood Services is composed of eight divisions:
Preservation Services Exec Office (EXEC), Data Management & Technology (DMT), Division of Neighborhood Preservation (DNP), Administration & Internal Compliance (AIC), Housing Litigation Division (HLD), Division of Code Enforcement (DCE), Emergency Operations Division (EOD), Division of Special Enforcement (DSE)

Under the direct supervision, the selected candidate will be responsible for assisting with various administrative activities related to the necessary repairs for the improvement of poor housing conditions through the Emergency Repair Program.
Your Role:
Your role will be a Clerical Associate L-3/EOD Clerical Support in the Emergency Repair Unit within the Emergency Operations Division (EOD), you will be responsible for, but not limited to the following.

Your Responsibilities:
- Responding to complaints regarding environmental hazard issues, and emergency repairs.
- Update tracking reports and complete data entry assignments.
- File and maintain various tracking reports.
- Assist in resolution of vendor payment, issues initiated by the Vendor, Engineering Audit Division and Accounts Payable Unit.
- Communicate with vendors and site offices to obtain information and resolve payment disputes;
- Attach and scan relevant documents into HPDINFO using Microsoft Applications.
- Check records for accuracy of information, and for conformity with established policies and procedures.
- Answering phones and responding to inquiries as required.
- Assist the routing supervisor to ensure address are accurate before routing sheets are assigned to inspectors.
- Routing violations and OMO’s to inspectors to scope the emergency hazardous condition for repair and monitor the contract repair.
- Prepare and review letters for accuracy before sending to vendors.
- Schedule meetings, conference calls, and prepare required materials for related meetings.
- Serves as clerical support, performing administrative duties such as filing, editing, and formatting reports, and other duties as required.
Minimum Qual Requirements
Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Preferred Skills
- Experience in working with Windows applications.

Additional Information
Candidates may be assigned to any office within the 5 boroughs and may be assigned to work evenings and weekends.
