We are looking for a strong Customer Service Specialist for our office that is located in Fort Atkinson, WI. This position is a M-F.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Assist the customer with general inquiries and ordering information; estimated delivery time, invoice requests, pricing, product information, shipping charges, shipping information, special order requests, stock checks, and tracking information within 24 hours.
- Efficiently process international orders via email, mail, phone, and web.
- Assist with preparing and finalizing customer quotes as needed.
- Follow-up on customers’ inquiries when needed, address verification, back orders, missing information, price increases, product substitutions, ship dates, shipping charges, and special order information.
- Interpret, follow, and update customer account notes, routing guides, price guidelines and special-order handling instructions. Follow the established International Purchase Order & Shipping Policy and Procedures.
- Resolves customer service inquires and issues. Recommends appropriate solutions.
- Maintains high levels of customer satisfaction. Demonstrates commitment to quality through customer and distributor interactions.
- Assist Shipper with claim forms lost or damaged items.
- Correct billing errors by initiating credits and debits to the customer’s account.
- Coordinate product returns by issuing call tags or RA numbers.
- Work with and inform – Quality Control, Fort and NY plant managers, Procurement, Customer Care, and sales team members of problems with products discovered through frequent customer complaints.
- Properly prepare paperwork for orders to be scanned into the retention system.
- Assist with back-up in all regions as assigned. Perform all other duties that may be assigned.
- Provide distributors with authorization letter when required
- Use Salesforce to add new accounts, contacts, etc., as new inquiries arrive and for preparing quotes as needed.
Required Skills and Abilities
- Must have excellent phone and customer service skills.
- Must have excellent communication skills, both written & verbal.
- Must be comfortable working with customers in a calm, professional manner, using empathy to understand their needs.
- Must be able to establish positive working relationships with customers.
- Must be able to accurately type 30-35 WPM; ability to use business software programs.
- Must be highly efficient, detail-oriented, organized, and proactive.
- Must be able to work professionally with people in a team atmosphere and on an individual basis with a positive attitude.
- Must have good listening and problem-solving skills.
- Must be able to work in a fast-paced environment.
- Must be adaptable and flexible to a changing environment.
- Must be able to read and write in English
