The ideal Customer Care Specialist has the fundamental responsibility of creating an extraordinary experience for our clients and vendors. The primary focus of this position is to ensure effective and efficient communication by serving as the primary point of contact for our entire customer base. The Customer Care Specialists will work in a collaborative team effort to assist in all steps relating to the sales process, facilitate and complete new client onboarding and to support the growth of the company by developing long term customer satisfaction.

Daily Responsibilities :

Daily responsibilities include communication with customers by answering questions, communicating customer schedule conflicts, coordinating customer service requests, addressing customer inquiries and complaints, and performing various administrative tasks.

Your natural ability for Customer Service allows you to easily jump in, answer questions and coordinate the collection of details in a timely manner while ensuring the client feels heard. Your strong personal sense of urgency, ability to quickly learn and utilize the client onboarding process and online systems should combine with your written and verbal communication experience to ensure deadlines are met timely, work is progressing, and clients are supported.

This position requires an employee that is able to quickly create a dynamic and personalized conversation using their knowledge and experience to connect to our clients while capturing all of the pertinent details to ensure our service technicians have what they need to deliver.

The Customer Care Specialist also helps with the sales process by making initial contact with prospects, preparing, and presenting proposal documents and contracts in support of the sales team, making follow up calls, and updating account information and scheduling won services. You will be supported with inquiries on customer projects requiring on-site or higher-level consideration through escalation to the Director of Sales and Development.

In all efforts the Customer Care Specialist uses professional communication, works in an equal effort of team support and exceptional commitment to finding the best answer – for the client and the company.

The Customer Care Specialist responsibilities include:

  • Provide exceptional service at all times and in a warm and enthusiastic manner while consistently working towards building relationships with existing, as well as prospective, clients.
  • Maintain and update CRM software regarding individual and specific sales notes, points of contact details, phone conversations, etc. no less than daily to stay current.
  • Capturing and creating CRM Ticket Response and delegation to applicable team members for next steps.
  • Respond to customers emails timely and in line with company procedures through a combination of telephone and email outreach.
  • Answer all incoming telephone calls and direct to appropriate available company personnel as well as takes and deliver messages and/or creates tickets as appropriate.
  • Outreach client communication regarding scheduling issues in collaboration with the Logistics Manager.
  • Prepares the estimate, quote, and proposal using accurate measurement data and with prospect specifics and correct details as appropriate for client project.
  • Presents all proposals/documents to prospect by delivering an email version and following up with same day telephone call or text.
  • Follow up and closes sales.
  • Coordinates collection of client details and enters job specifics into the system for accounting process.
  • Complete documenting and enter job specifics into the system for production including reaching out to personnel as specific case requires.
  • Communicate with the sales team about any unresolved issues.
  • Communicates professionally and courteously to all personnel inside and outside of the company.
  • Assists the Office Manager with administrative tasks as assigned.
  • Resolve minor customer complaints and communicate escalated client issues to the Office Manager/COO.
  • Assessing patterns in trending customer service questions to contribute to better sales and service.
  • Occasionally assist and represent the company at local industry conferences, trade shows, events, educational trainings, and networking group as assigned.

  • Experience qualifying and closing prospective clients– min. 2 yrs.
  • Experienced at serving as first point of contact for incoming calls – min. 3 yrs.
  • Excellent customer service experience – minimum of 3 years Skill
  • Excellent at using online tools including CRMs and /or Work Ordering systems - min. 3 yrs.
  • Excellent follow-up skills.
  • Strong communications skills – written and verbal.
  • Positive and warm personality.
