Position Overview:

The Conference and Event Management Consultant will be responsible for delivering skillful event planning for a variety of face to face and virtual meetings of varying complexity, supporting three distinct insurance brands. This detail oriented individual will plan and execute professional events, leading teams from the initial conception of the event to its successful completion. This role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate across internal functional areas and external vendors to ensure a successful event that meets organizational goals and expectations. This role is responsible for the planning, tracking and execution of all event logistics, attendee communications, and keeping stakeholders informed on roles and responsibilities, updates, timelines and deliverables throughout the planning and execution process.

Main Accountabilities:
  • Lead, plans and executes internal and external face to face and virtual conferences and events of varying degrees of complexity.
  • Builds registration sites, campaign records and manage attendee communication.
  • Provides superior customer service and support to internal stakeholders on planning and execution of events.
  • Manage all aspects of an assigned event from pre-planning, financial planning, determining resource needs, pre-event marketing, remote and on-site coordination, to post event follow up
  • Develop effective and collaborative relationships with internal and external stakeholders
  • Leads internal team projects and efficiency initiatives to identify areas for process and workflow improvements, and works closely with internal associates to develop best practices.
  • Manage sponsorship requests as needed
  • Order supplies as needed for events
  • Order and maintain conference/sales promotional giveaways
  • Ability to travel domestically and globally at least 10-15% of the time
Qualifications:
  • Bachelor’s degree in marketing, communications, business, or related field required
  • 3+ years of Digital Marketing Experience
  • Conference and Event Planning Experience
  • Skilled meeting planning experience with executing both virtual and face-to-face meetings ranging from Advisory Boards to Sales Meetings
  • Detail oriented and highly organized with strong project management skills often managing multiple pressing priorities and working to challenging and changing deadlines
  • Ability to navigate and be successful in a fast-paced, time sensitive, and highly-matrixed work environment
  • Strong oral and written communication skills to exchange complex meeting details
  • Ability to collaborate well with internal peers and external vendors
  • Ability to think creatively and strategically to deliver meeting objectives, move projects through to completion and develop contingency plans.
  • Experience working with Logistics Agencies
  • Proficient in Microsoft Office suite
  • CMP and or CMM Certification (a plus but not required)
  • Prior working knowledge of Cvent Event Management software program
  • Pharmaceutical experience (a strong plus but not mandatory)
