The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Performs various activities necessary to collect Medicare Part B reimbursement for physicians’ services including consultations and ancillary services including, EKG, vaccines, injections, etc. ; prepares, distributes, and tracks service documentation sheets; gathers medical service data; submits physicians applications for enrollment; maintains price lists and coding information; compiles and submits paper and electronic claims; posts payments, adjustments, or recoupment to accounts in automated mainframe system; maintains logs and reports of claims collection data; researches denials and discrepancies, and takes appropriate action for the resolution of the denial. Establishes and maintains accounts receivables and enters transactions into the automated system. Answers inquiries on individual accounts as requested by payors. Performs various activities necessary to collect reimbursement from other 3rd-party payors and from individuals; contacts appropriate agencies to confirm eligibility for Medicare, Medicaid, CHAMPUS, CHAMPVA, commercial insurance, etc; completes and submits applications, forms, and paper claims for reimbursement, including medical records as required; coordinates claim submission when multiple third-party sources exist; sends form letters regarding payments and delinquent accounts; and posts payments, adjustments, or recoupment to mainframe accounts receivables system. Performs various activities necessary to ensure enrollment and maintenance in the Medicare Part D program. Work with QMRP Department and Pharmacy regarding plan reviews and complete enrollment changes when instructed by the Personal Support Team (PST) and update all records. Communicate with the Medicare Part D Plans, Plan Administrator (PSP), Social Security, Medicare, PST and Pharmacy with regards to Part D issues. Maintains Medicare Part D correspondence files and enrollment lists. Reconciles (with cashier, trust fund clerk, and accounting office) monthly cash receipts for both third-party and non-third-party collections for proper crediting of individual accounts. As needed, provides to facility staff information pertaining to individuals’ financial status, 3rd party coverage of medical services obtained off-campus, and benefits under Social Security, Supplemental Security Income, Veteran Administration, Civil Service, etc. Performs office functions, including maintenance of files, distribution of daily mail, answering telephone, greeting visitors, word-processing and photocopying documents. Assists the Reimbursement Manager with obtaining and compiling information and completing forms to refer accounts to Reimbursement Attorney for investigation or collections. Will be working with Microsoft, Excel, Outlook and Access.


Essential Job Functions:
  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

    Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.


    Knowledge Skills Abilities:
    Knowledge of billing, collection, and account maintenance procedures. Skill in use of modern office equipment including calculator, photocopier, and personal computer. Ability to perform mathematical computations, and to understand and perform complex technical procedures. Ability to implement administrative procedures; to interpret rules regulations, policies, procedures and to maintain effective working relationships with individuals served and their representative, as well with associates, supervisors, and staff of the facility and other agencies.

    Registration or Licensure Requirements:


    Initial Selection Criteria:
    Graduation from an accredited high school or GED, plus (2) years of work experience in a field related to the duties of the position.

    Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/Entities. Males between the ages of 18 – 25 must be registered with the Selective Service.

    All State Supported Living Center employees are subject to Random drug testing.

    Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
